Registration Specialist I

Location: IU Health West Hospital – OB/GYN Department
Schedule: Monday–Friday, 8:30 AM–5:00 PM

The Registration Specialist I plays a key role in supporting a positive patient experience by facilitating smooth and efficient patient flow throughout the OB/GYN department. This role is responsible for patient check-in and check-out, scheduling, pre-registration, and ensuring accurate demographic, financial, and insurance information is collected and entered into the system. The ideal candidate is dedicated, dependable, patient-focused, and thrives in a lighthearted, team-oriented environment.

Onboarding & Growth

  • Training: New hires will receive structured orientation with a Team Lead for approximately 6 weeks, followed by reverse shadowing.

  • Development Benchmarks:

  • 3 months: Working independently

  • 6 months: Fully comfortable in the role

  • 12 months: Positioned for growth into a Registration Specialist II role

Key Responsibilities

  • Facilitate patient flow from point of entry to destination in a timely, accurate, and professional manner

  • Register patients by accurately collecting and entering demographic, financial, and insurance information

  • Check patients in and out, ensuring a positive and welcoming experience

  • Schedule appointments and complete pre-registration activities

  • Interview patients to obtain appropriate medical and insurance information

  • Explain hospital and departmental charges, policies, and procedures

  • Validate and enter charges into appropriate systems and collect payments as required

  • Answer incoming calls and appropriately direct patients and visitors

  • Support optimal clinical outcomes and maximum reimbursement through accurate documentation

Required Qualifications

  • High School Diploma or GED required

Preferred Qualifications

  • Relevant experience in a healthcare setting

  • Ability to learn and retain medical coding concepts (ICD-10 and CPT preferred)

  • Understanding of insurance information and verification processes

  • Knowledge of medical terminology and clinical practices

  • Basic proficiency in Microsoft Office (Word, PowerPoint, Excel)
