Job Description

Schedule & Location

  • Schedule: Monday–Friday, 9:00 AM – 5:00 PM (Onsite)
  • Location: Riley Carmel

This role supports daily office operations with a focus on scheduling, patient flow, and front-end workflows. The team environment is highly collaborative, with a strong emphasis on communication and teamwork.

Onboarding & Training

  • First 6 weeks: Structured, formal onboarding
  • Post-6 weeks: Continued development with an assigned mentor
  • Includes shadowing and side-by-side training with an experienced team member or manager

Performance Benchmarks

  • 3 Months: Continues partnership with mentor, building confidence
  • 6 Months: Increasing independence while still seeking guidance as needed
  • 12 Months: Fully independent and effectively managing workflow

Top Responsibilities

  • Scheduling appointments and managing calendars
  • Patient check-in/check-out processes
  • Messaging and communication coordination
  • Document scanning and record management
  • Frequent interaction with clinical team members and providers

Skills for Success

  • Experience with EHR systems (e.g., eCare, Cerner)
  • Bilingual (English/Spanish) preferred
  • Strong adaptability and ability to multitask in a fast-paced environment
  • Collaborative, team-oriented mindset

Key Responsibilities (Expanded)

  • Facilitate patient flow efficiently and professionally from arrival through departure
  • Collect and verify accurate demographic and financial information to support reimbursement and clinical outcomes
  • Schedule appointments and gather appropriate medical information
  • Explain departmental policies, procedures, and associated charges
  • Enter and validate charges in appropriate systems and collect payments when necessary
  • Answer incoming calls and direct patients and visitors appropriately

Qualifications

  • Required: High School Diploma or GED
  • Preferred:
    • Relevant healthcare experience
    • Knowledge of medical terminology and clinical workflows
    • Experience interpreting insurance information
    • Familiarity with medical coding (ICD-10, CPT)

Technical Requirements

  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint)
