Role Purpose

The Specialist/Senior Specialist – Documentation Operations acts as a Subject Matter Expert (SME) responsible for supporting end-to-end execution, governance and continuous improvement across documentation and shipping operations processes.

The role will drive operational excellence by ensuring process compliance, stakeholder management, escalation handling, KPI achievement, process standardization and capability development across the Global Service Centre.

The incumbent will work closely with regional stakeholders, agencies, depots and leadership teams to ensure efficient and standardized delivery of documentation operations services.

Designation Specialist - NVOCC (Tank) Operations

Base Location: Ghansoli, Navi Mumbai

Reporting To: Assistant Manager / Manager – Documentation Operations

Key Role Responsibilities

Act as Subject Matter Expert (SME) for Documentation Operations processes.

Support end-to-end execution across booking management, documentation processing and booking-to-invoice activities.

Monitor operational performance and ensure adherence to agreed KPIs and SLAs.

Review operational transactions to ensure accuracy, quality and compliance.

Manage operational escalations and support timely issue resolution.

Coordinate with regional offices, agencies, depots and internal stakeholders to ensure seamless service delivery.

Provide guidance and support to team members on complex operational scenarios and process exceptions.

Review detention management, inventory updates, empty repositioning and transshipment activities.

Ensure compliance with established SOPs, governance frameworks and operational controls.

Support process transitions, knowledge transfer and stabilization activities.

Conduct root cause analysis and recommend corrective and preventive actions for recurring issues.

Participate in automation, standardization and process improvement initiatives.

Support preparation and review of operational reports, dashboards and management presentations.

Deliver process training, refresher sessions and knowledge-sharing activities.

Maintain process documentation, SOPs and knowledge repositories.

Support internal and external audit requirements and ensure audit readiness.

Drive a culture of operational excellence, continuous improvement and customer-centric service delivery.

Skills & Competencies

Prior experience in Shipping Operations, Container Operations, Logistics, NVOCC or Freight Forwarding.

4–6 years direct experience in shipping, logistics, documentation operations or operational support functions.

Experience in Tank Container Operations and/or knowledge of Dangerous Goods (DG) / Hazardous Cargo handling will be an added advantage.

Strong knowledge of shipping documentation, booking management and operational workflows.

Understanding of detention management, inventory management, transshipment and invoicing processes.

Experience managing operational escalations and stakeholder communication.

Strong analytical, decision-making and problem-solving capabilities.

Excellent communication and stakeholder management skills.

Experience working with operational systems, ERP platforms and reporting tools.

Advanced knowledge of Microsoft Office applications, particularly Excel.

Ability to coach, mentor and support junior team members.

Ability to work independently and manage multiple priorities within a dynamic environment.

Flexible to work in rotational shifts as per business requirements, including night shifts, weekends and public holidays, to support global operations across different regions and time zones.

Education & Qualifications

Bachelor's Degree in any discipline.

Professional certifications in Shipping, Logistics, Supply Chain, Lean, Six Sigma or Process Excellence will be an added advantage.
