POSITION OVERVIEW
The Dispatch Specialist – LTL Fuels/Propane Operations is responsible for coordinating and dispatching fuel and propane deliveries across multiple bulk plant locations within the LTL Fuel/Propane Division. This role reports directly to the VP of Operations and plays a critical part in ensuring timely, efficient, and cost-effective tank wagon deliveries to our commercial, agricultural, construction, fleet customers, and residential customers.
This position focuses on optimizing delivery routes, managing daily delivery schedules, and maintaining product availability across company and customer locations. The Dispatch Specialist works closely with drivers, branch managers, and outside sales representatives using routing software and automated tank monitoring systems to support proactive, efficient delivery planning.
Success in this role requires strong communication, attention to detail, and the ability to make real-time decisions that improve service levels and operational efficiency.

ESSENTIAL JOB FUNCTIONS
- • Coordinate and dispatch daily tankwagon fuel/propane deliveries across multiple bulk plant locations, ensuring efficient routing and on-time delivery
- • Manage incoming fuel/propane orders via phone, email, and automated tank monitoring systems; prioritize and schedule deliveries based on urgency, tank levels, and route optimization
- • Utilize routing and dispatch software to build and adjust delivery schedules in real time, maximizing driver productivity and minimizing miles and downtime
- • Communicate continuously with drivers regarding delivery schedules, route changes, and customer needs throughout the day
- • Work closely with branch managers and outside sales representatives to align delivery schedules with customer expectations and business priorities
- • Ensure product availability and coordinate with supply teams
- • Track and improve delivery and operational efficiencies, including route density, delivery timing, and driver utilization
- • Identify opportunities to improve processes, reduce costs, and enhance customer service levels

Dispatch Accuracy & Service Reliability
• Zero customer runouts due to dispatch or scheduling errors
• Accurate routing and scheduling to avoid missed or delayed deliveries
• Timely response to same-day and emergency delivery needs
• Minimal service disruptions caused by dispatch decisions
Operational Efficiency
• Route optimization and driver productivity (stops per day, miles per delivery, time utilization)
• Effective use of tank monitoring systems to reduce unnecessary trips and improve planning
• Reduction in overtime and inefficiencies through better scheduling
Communication & Responsiveness
• Timely communication with drivers, branch managers, and sales teams
• Clear updates on delivery status and changes throughout the day

Qualifications
EDUCATION & QUALIFICATIONS:
- • Associate or bachelor’s degree plus 2 years of relevant work experience preferred
- • Prior experience in dispatching, logistics, transportation, or fuel distribution preferred
- • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- • Detail-oriented with a focus on accuracy and follow-through
- • Ability to make real-time decisions and adjust plans as conditions change
- • Proficient in Microsoft Excel and dispatch/routing software systems
- • Excellent communication skills with the ability to work effectively with drivers, managers, and customers
- • Commitment to operational excellence and holding high performance standards
