The Default Specialist plays a key role within Amherst’s Default department, serving as the primary point of contact between the company, law firms, sheriffs, and third-party vendors throughout the legal and default management process. This role is responsible for managing case communication and documentation, coordinating notice distribution, tracking case progress, and generating reports that support accurate, data-driven decisions for the legal team. Through proactive case follow-up, precise record-keeping, and responsive support to residents and law firms, the Default Specialist helps the department resolve legal and default cases efficiently, compliantly, and on time.

Key Responsibilities

  • Communication with Law Firms: Serve as the primary point of contact for communication with law firms, maintaining professional and effective correspondence to ensure timely updates and information exchange regarding legal procedures such as filing cases in court, providing information for hearings (witnesses, work orders, maintenance issues, etc.), and creating court dockets.
  • Communication with Sheriff/Third Parties: Coordinate with third-party vendors, Asset Managers, and sheriffs to schedule and execute lockouts.
  • Report Generation and Data Analysis: Generate various reports and interpret data accurately to provide insights and support decision-making for the legal team.
  • Chat/Phone Support: Address inquiries and provide support through chat and phone calls, ensuring prompt and helpful responses to stakeholders.
  • Notice Distribution: Prepare and distribute notices as required, ensuring compliance with legal procedures and timely delivery to relevant parties, including notices for adverse possession, violation, non-payment, and notices to vacate.
  • Case Follow-Up: Proactively follow up on cases, tracking progress and ensuring all necessary actions are taken in a timely manner to meet deadlines and resolve issues efficiently, including emailing/calling attorneys and court clerks and checking court websites.
  • Property Status Management: Monitor and adjust property status as needed, maintaining accurate records and ensuring alignment with legal requirements and departmental guidelines.
  • Research and First-Contact Resolution: Conduct research as required, collaborating with different departments to gather information and provide first-contact resolution to inquiries, aiming for swift and satisfactory outcomes.
  • Daily Interaction Management: Take accountability for day-to-day interactions with law firms and residents, addressing questions, concerns, and requests promptly and professionally to maintain positive relationships and uphold organizational standards.

Job Requirements

Minimum Requirements:

  • English proficiency, written and conversational
  • Intermediate-level Microsoft Excel skills
  • Strong general PC/computer skills

Preferred Qualifications:

  • Prior backoffice or administrative support experience
  • Background or experience in real estate or property management

Functional and Behavioral Skills

Functional Skills:

  • Microsoft Excel (Intermediate) — formulas, data organization, and reporting
  • Strong general PC and software proficiency

  • Familiarity with backoffice or property management systems (preferred)
