This position requires a proactive mindset, strong communication skills, and the ability to work independently while navigating sensitive information and complex stakeholder groups.

Key Responsibilities

Executive Support & Operations

  • Drive seamless, proactive calendar management by anticipating conflicts, safeguarding strategic focus time, and coordinating complex multi‑stakeholder meetings with accuracy and minimal disruption.
  • Coordinate travel, logistics, and expense reporting.
  • Prepare leaders for upcoming engagements by consolidating briefs, materials, agendas, and follow-ups.

Communication & Stakeholder Management

  • Act as a liaison between leaders and internal/external stakeholders—ensuring crisp, timely, and professional communication.
  • Help prepare messages, updates, and internal announcements for broad audiences.
  • Maintain confidentiality and handle sensitive information with discretion.

Team Operations & Culture

  • Partner with HRBPs, Finance, and Operations partners on tasks such as hiring coordination, onboarding, procurement, and budget tracking.
  • Help support a positive team culture through event coordination, recognition programs, and team-building activities.

Success in This Role Looks Like

  • Leadership time is optimized and protected so they can focus on strategic work.
  • Calendar management is frictionless, proactive, and highly accurate, with the EA consistently anticipating scheduling conflicts, protecting strategic focus time, and orchestrating complex multi‑stakeholder meetings without disruption.
  • Meetings, deliverables, and cadence moments are well-prepared, actionable, and aligned.
  • The EA becomes a trusted, proactive partner who improves efficiency and reduces friction across teams.

Qualifications

Required:

  • 5+ years providing executive-level administrative support, ideally in product, technology, design, or data-driven organizations.
  • Strong calendar management, prioritization, and problem-solving skills.
  • Demonstrated experience supporting multiple leaders or teams simultaneously.
  • Exceptional written and verbal communication skills.
  • High proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
  • Ability to anticipate needs and operate with a high degree of autonomy, adaptability, and professionalism.

Preferred:
