POSITION TITLE: Administrative Assistant
DEPARTMENT: Special Services
PAY SCHEDULE: $45,000-$55,000 - Salary to commensurate with education and experience
EFFECTIVE: Immediate
Job Summary:
Provide professional administrative assistance and support to the Director of Special Services. The ideal candidate will have excellent communication skills, both written and oral, and be able to resolve problems independently which may range from routine inquiries to more complex, multi-step decision-making requirements.
Qualifications:
- High School graduate or equivalent-Required
- Bachelor Degree preferred
- At least 3 years of experience in Administrative Assistance in public schools or business sector preferred.
- Must be neat in appearance, have a pleasant personality, and ability to greet the public and get along and work with others.
- Intermediate to advanced expertise in the use of Microsoft Office Programs, i.e., Word, Excel, Publisher, PowerPoint, and Google Suite.
- Efficiently operates standard office equipment.
- Ability to establish timelines, attend to details, and demonstrate capacity to see projects through to completion.
- Ability to work a flexible schedule, as required, for meetings, and grant preparation for submission.
- Aptitude and ability to quickly master computer programs and databases, as they become available and/or as current programs are updated and revised.
- Evidence of skill in written and verbal communication.
- Experience in maintaining budgets and generating reports.
- Ability to organize, prioritize, and manage tasks efficiently, assumes responsibility, and maintains confidentiality.
- Evidence of a desirable work record (i.e., low absenteeism, flexibility, good performance, good time manager).
- Responsible for keeping up-to-date student records, including enrollment procedures, and requests for student records.
- Must be able to maintain comprehensive records and files.
- Attention to detail and skilled in proofreading.
- Must have the ability to work under pressure
- Ability to work in a multicultural setting.
Responsibilities:
- Able to interpret and read Individual Education Plans (IEPS) to assess proper placement and compliance.
- Competent in MiStar Student Accounting Software in order to enter, modify, and correct student enrollment and
- IEP information.
- Able to properly discuss special education enrollment process with parents and guardians.
- Ability to collect, organize, and inspect Medicaid data in order to bill for services.
- Able to organize and regularly update staff lists and student caseloads for accurate pupil accounting.
- Able to organize student lists and data in order to correctly enter pupil count information.
- Possess interpersonal skills needed to coordinate with other Wayne RESA districts, center programs, and
- transportation departments.
- Able to communicate effectively with other departments such as finance and transportation to provide all services
- determined by IEP.
- Possess knowledge of federal requirements for early on services.
- Understands IDEA flow through grant and all guidelines for expenditures.
- Maintains activity and revolving accounts as assigned.
- Maintains student accounting records, such as Registry of the Handicapped, etc.
- Translate dictation of psychological reports provided by therapists.
- Assists special education staff with clerical duties.
- Maintains records on referrals, new enrollments, etc.
- Maintenance of office files.
- Responsible for telephone communications.
- Performs other duties, as may be related to the position.
