Job Description

The Special Projects Manager provides strategic operational and logistical leadership for a variety of internal/external guest-facing initiatives, VIP/corporate visits, and marketing activities across the destination. This role leads, designs, develops and delivers special events, group experiences, promotional activities, and unique guest moments, while also supporting cross-departmental projects that enhance the overall destination experience.

The position requires a well experienced professional with a proven track record of delivering blow away guest experiences, highly organized and adaptable individual who can lead multiple initiatives simultaneously, collaborate with internal and external teams, and ensure that events and special activities are delivered seamlessly and in alignment with brand standards.

Event & Experience Coordination

  • Design, develop, and deliver events, activities, and guest experience across the destination.
  • Lead budget and forecasting initiatives for all events and special projects.
  • Develop and deliver interactive activities and group experiences designed to enhance guest engagement.
  • Coordinate logistical arrangements for special guest moments and celebrations, ensuring a seamless and memorable experience.

Corporate & Industry Visits

  • Act as main point of contact for corporate group visits, executive site tours, VIP visits, and partner engagements.
  • Coordinate itineraries and experiences for travel agent familiarization visits and industry partners.
  • Work with relevant departments and third-party vendors to ensure a seamless and professional experience for visiting stakeholders.

Marketing & Media Support

  • Lead on-site logistics for video shoots, film production, photography sessions, and marketing activations.
  • Collaborate with marketing teams to ensure locations, activities, and participants are properly arranged and prepared.
  • Direct marketing initiatives to ensure efficient execution on property.

Special Projects & Operational Support

  • Design, develop and deliver special projects and cross-departmental initiatives.
  • Lead various operational projects aimed at enhancing the destination’s guest experience.
  • Plan, schedule, budget, and implement initiatives that contribute to brand storytelling and guest engagement.

Collaboration & Coordination

  • Communicate and liaise with internal departments to ensure smooth execution of events, visits, and special activities.
  • Track project timelines, logistical requirements, and operational readiness.
  • Provide on-site leadership during events and activities.

Essential/Minimum qualifications

  • Performs other duties as assigned
  • Experience in high profile event management with a minimum of 10 years international experience in event production, VIP hospitality operations, guest experience, or tourism.
  • Proven experience in ideation and concept development.
