Oversees the planning, execution, and follow-up of special projects and events for the Prestonwood Pregnancy Center (“PPC”).
Responsibilities:
Support the Executive Director on all special projects for PPC
Oversee all aspects of special projects from idea conception to completion
Maintain project tracking reports for projects and events
Plan, organize, and execute donor and community outreach events, staff development, and other client programs
Coordinate vendors according to necessary requirements
Submit event budgets and contract requests according to Prestonwood Baptist Church (“PBC”) policies
Submit events reservations in the PBC programming software
Develop event timelines, run-of-show documents, and logistics plans for events
Coordinate with:
PBC Church Programming to inspect event facilities to plan for logical facility use
PPC staff to ensure continuity in the planning and execution of events
PPC Development & Marketing team for promotion through email, social media, and print materials
PBC Communications to ensure communication flow as needed
Prepare event materials such as programs, signage, name badges, and marketing
Coordinate event invitations, registrations, RSVPs, and follow-up communications
Recruit, schedule, and communicate with volunteers and staff for events
Ensure volunteer screening processes are followed
Oversee event setup, on-site management, and breakdown
Serve as the primary point of contact during events
Monitor activities to ensure satisfaction of participants and resolution of complications
Assist with post-event follow-up, including thank-you communications, donor acknowledgments, and post-event reporting
Other duties as assigned
Qualifications
Requirements:
Growing relationship with Jesus Christ as Lord and Savior as an active member of a Bible believing and preaching ministry
College degree preferred
Experience working with project and facility space management software preferred
Prior experience in event planning and execution preferred
Excellent interpersonal skills
Strong planning, organizational, process implementation skills and attention to detail
Excellent written and oral communication skills
Intermediate to advanced skills using Microsoft Office software
Ability to work a varied schedule which will include evenings and weekends
Ability to perform physical activities that require moving one’s whole body, such as climbing, walking, stooping, pushing, pulling, balancing and lifting up to 30 lbs. without assistance and the ability to work at a desk for extended periods of time.
