The role of the Special Events Coordinator is to provide onsite administrative support for the US General Services Administration (GSA) Lower Manhattan Field Office located in Manhattan, NY

Essential Functions – Special Events Coordinator

  1. Event Coordination: Schedule, plan, and monitor special events for tenants and external vendors at the US Customs House, ensuring all logistics are managed efficiently. Coordinate conference room reservations and on-site requirements.
  2. Administrative Support: Provide comprehensive administrative support to the Lower Manhattan Field Office, including handling calls, welcoming visitors, directing inquiries, and assisting with procedural functions. Maintain organized files and ensure proper documentation in accordance with agency policies.
  3. Financial and Procurement Assistance: Assist with financial obligations, procurement documentation, and credit card log management. Ensure accurate recordkeeping, verify receipts, and coordinate with the budget analyst to resolve financial issues. Process all Reimbursable Work Authorizations (RWAs) accurately and timely.
  4. Access Control and Security: Enroll, issue, and manage HSPD-12 building access cards, entry passes, and monitor card reader systems. Perform Access Control Operator duties at Federal Office Buildings as needed. Ensure secure handling of sensitive information and adherence to agency access policies.
  5. Records Management and Reporting: Maintain and archive records, generate daily reports, and manage records databases. Screen and distribute incoming mail according to deadlines and establish follow-up procedures to ensure timely responses.
  6. Problem Solving and Independent Work: Independently complete assignments, address issues proactively, and provide solutions to administrative and event-related challenges while maintaining professionalism and confidentiality.
  7. Stakeholder Communication: Serve as a primary point of contact for internal staff, executives, and external agencies, ensuring clear communication and resolution of operational and administrative matters.

Qualifications

Qualifications:

  • Must be a U.S. Citizen.
  • Must be willing to participate in federal background investigation and drug test.
  • Must demonstrate relevant experience for the role.
  • Must be proficient in Microsoft Office and the Google Suite of products.
