Job purpose
The Spare Parts & Preventive Maintenance Coordinator is responsible for managing maintenance inventory, spare parts procurement, and preventive maintenance (PM) programs to support equipment reliability and operational efficiency. This position ensures that critical spare parts are available when needed, maintenance schedules are planned and executed on time, and maintenance records are maintained accurately within the CMMS (Computerized Maintenance Management System).
The role serves as a key link between Maintenance, Operations, Purchasing, and Vendors to minimize equipment downtime and improve overall plant performance.
Main accountabilities and tasks
Spare Parts Management
- Manage and maintain the maintenance storeroom inventory.
- Establish and monitor minimum and maximum stock levels for critical spare parts.
- Research, identify, and source replacement parts and equipment components.
- Create and process purchase requisitions and purchase orders for maintenance materials.
- Coordinate with vendors and suppliers to obtain quotations, pricing, and delivery schedules.
- Receive, inspect, and organize incoming maintenance inventory.
- Maintain accurate inventory records in SAP.
- Conduct cycle counts and annual physical inventories.
- Identify obsolete inventory and recommend disposition strategies.
- Track maintenance spending and assist with budget control efforts.
- Develop and maintain critical spare parts lists for all production equipment.
Preventive Maintenance Coordination
- Develop, schedule, and coordinate preventive maintenance activities for plant equipment and facilities.
- Maintain and update PM schedules and equipment records within the CMMS (until SAP implementation records will be in paper form).
- Generate, distribute, and track completion of PM work orders.
- Monitor PM compliance and completion rates.
- Coordinate maintenance activities to minimize production disruptions.
- Ensure PM tasks are performed according to manufacturer recommendations and company standards.
- Review and optimize PM frequencies based on equipment performance and reliability data.
- Assist in developing predictive and reliability-centered maintenance initiatives.
Maintenance Management System Administration
- Maintain equipment asset information and hierarchy.
- Ensure accuracy of maintenance history records.
- Track work order completion, labor hours, and material usage.
- Generate maintenance performance reports and KPI metrics.
- Support continuous improvement efforts through maintenance data analysis.
Reliability and Continuous Improvement
- Analyze equipment failures and recommend improvements.
- Participate in reliability improvement projects.
- Identify opportunities to reduce maintenance costs while improving equipment uptime.
- Support 5S and maintenance excellence initiatives within the storeroom and maintenance department.
Safety and Compliance
- Ensure all maintenance inventory and activities comply with company safety policies.
- Maintain safety data sheet (SDS) documentation and chemical inventory records as required.
- Support compliance with OSHA, environmental, good manufacturing practices (GMP), or other applicable regulations.
- Promote safe work practices and housekeeping standards.
Qualifications
Education
- Associate degree in Industrial Maintenance, Engineering Technology, Supply Chain Management, Business, or a related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- 3–5 years of experience in maintenance planning, maintenance inventory management, spare parts coordination, or industrial maintenance.
- Experience using SAP software is preferred.
- Manufacturing environment experience preferred.
Knowledge, Skills, and Abilities
- Strong understanding of industrial maintenance systems and equipment.
- Knowledge of inventory control principles and purchasing processes.
- Proficiency with CMMS platforms and Microsoft Office applications.
- Strong organizational and planning skills.
- Ability to prioritize multiple projects and deadlines.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving abilities.
- Ability to interpret equipment manuals and technical documentation.
- Knowledge of preventive and predictive maintenance methodologies
