Job Purpose

At Toyota Automated Logistics, the Spare Parts Order Management Specialist is responsible for ensuring the seamless execution of end-to-end spare parts operations and delivering an excellent customer experience throughout the spare parts lifecycle. The role serves as a key link between customers, suppliers, logistics providers, engineering, quality, procurement, and finance teams, ensuring timely order fulfillment, data integrity, operational efficiency, and continuous improvement of customer support processes.

Key Responsibilities

• Manage spare parts quotations, pricing requests, quotation follow-up, and quotation performance.
• Process spare parts orders, including customer orders, replenishment orders, dropshipment orders, internal orders, repair orders, warranty orders, and credit/debit transactions.
• Coordinate inbound and outbound logistics activities, including expediting, urgent deliveries, export documentation, and resolution of delivery-related issues.
• Support supplier management activities, including quotation requests, order approvals, catalog maintenance, and invoice discrepancy handling.
• Maintain and support item, customer, project, and pricing master data to ensure data accuracy and compliance.
• Provide technical spare parts support and identify products using engineering documentation and product information systems.
• Manage warranty claims, repair requests, returns, and customer complaints in collaboration with internal stakeholders and suppliers.
• Administer consignment stock operations, including stock setup, replenishment, and inventory consumption processes.
• Support and administer digital customer solutions, including Webshop, Maximo, API integrations, and related business applications.
• Guide customers through spare parts ordering processes and provide operational support for system and order-related inquiries.
• Collaborate with cross-functional teams to achieve high service levels, customer satisfaction, and operational excellence.
• Contribute to continuous improvement initiatives, process standardization, and the development of efficient spare parts business solutions.
