Job Description

Your role as a Spare Parts Engineer

As a Spare Parts Engineer within the EMEA Service department of Ranpak Automation, you are responsible for the complete spare parts process, from the moment a customer inquiry is received through to shipment of the requested parts.

You combine technical understanding with strong administrative and customer service skills. You prepare quotations, process orders in SAP, monitor delivery progress, maintain accurate communication with customers, and support the organization in maintaining appropriate spare parts stock levels.

In this role, you work closely with customers as well as internal teams such as Service, Engineering, Logistics, and Customer Service. You report directly to the Service Support Manager.

Your responsibilities

Spare parts quotations and order management

  • Take full responsibility for processing spare parts orders from customer request through to shipment.
  • Prepare and issue spare parts quotations accurately and within the agreed timelines.
  • Convert customer purchase orders into SAP and create order confirmations.
  • Prepare completed orders for invoicing.
  • Review and adjust pricing in line with Ranpak Automation policies.
  • Proactively follow up on outstanding quotations and customer orders.

Customer communication

  • Act as a direct point of contact for customers regarding spare parts requests and orders.
  • Provide timely acknowledgements when customer inquiries and orders are received.
  • Keep customers informed about order status, expected delivery dates, changes, and delays.
  • Ensure all communication is clear, accurate, professional, and customer focused.
  • Take ownership of the shared spare parts inbox and ensure incoming requests are handled in a timely manner.

Technical and operational support

  • Review customer requirements and identify the correct spare parts based on available technical information.
  • Read and interpret 2D and 3D technical drawings when required.
  • Coordinate with Engineering when spare parts are not yet available or created in the ERP system.
  • Support the assessment of warranty requests together with Field Service and/or Management.
  • Provide customers with technical guidance related to spare parts where needed.

Stock and delivery management

  • Monitor spare parts availability and minimum stock levels based on projected demand and annual sales.
  • Identify expected shortages and take appropriate action.
  • Report stock discrepancies to Logistics and support inventory accuracy.
  • Ensure spare parts deliveries meet agreed lead times and commercial requirements.
  • Provide complete and accurate order information for handover to the Customer Service and Logistics teams.

Reporting and process improvement

  • Prepare weekly overviews of open quotations and orders, including order value, shipment status, delays, and relevant KPIs.
  • Contribute to efficient and standardized spare parts processes.
  • Identify opportunities to improve workflows, customer service, and operational efficiency.
  • Actively contribute to a professional, efficient, and profitable EMEA Service organization.

Qualifications

  • MBO Level 4 or equivalent, preferably in Mechanical Engineering, Mechatronics, or another technical discipline.
  • Technical background or strong technical affinity.
  • Ability to read and understand 2D and 3D technical drawings.
  • Experience in selling, processing, or supporting technical spare parts is preferred.
  • Strong administrative skills and attention to detail.
  • Customer-oriented and service-minded approach.
  • Strong communication skills with the ability to communicate clearly, directly, and professionally with customers.
  • Process-driven mindset with an interest in improving existing workflows.
  • Ability to work independently while contributing effectively within a team.
  • Full-time availability.
  • Good command of Dutch and English; additional languages are an advantage.
  • Experience with Microsoft Office and SAP or a comparable ERP system.
