About the Role:
Snapscale is looking for a reliable and detail-oriented Spanish/English Bilingual Healthcare Virtual Assistant (HVA) to support the daily front office operations of a US-based healthcare clinic.
This role focuses on patient onboarding, scheduling, insurance verification, referrals, patient communication, and administrative support. The ideal candidate is a proactive multitasker who can communicate confidently with Spanish- and English-speaking patients while maintaining accurate records and providing excellent patient service.
Responsibilities may include:
- Manage patient onboarding, forms, demographics, and payer information.
- Verify insurance eligibility, benefits, and self-pay status.
- Handle incoming calls, messages, referrals, and patient inquiries in English and Spanish.
- Schedule, reschedule, and manage patient appointments and waitlists.
- Support plan-of-care scheduling and patient coordination.
- Monitor eligibility and obtain authorizations when applicable.
- Assist with medical records requests and general billing or account concerns.
- Support virtual patient check-in/check-out and time-of-service payment collection.
- Collect and document outstanding patient balances.
- Assist with payment reconciliation and correct demographic or claim information when needed.
- Prepare correspondence and reports.
- Escalate scheduling, onboarding, insurance, payment, documentation, or patient concerns to the appropriate team.
- Maintain accurate patient information and follow HIPAA and healthcare compliance requirements.

Requirements
- Previous experience as a Healthcare Virtual Assistant, Medical Virtual Assistant, Patient Coordinator, Medical Receptionist, Medical Administrative Assistant, or similar healthcare role.
- Fluent in both English and Spanish, with strong verbal and written communication skills.
- Experience with patient onboarding, scheduling, insurance verification, or healthcare front office operations is preferred.
- Experience using EMR/EHR or Practice Management Software.
- Proficiency in Google Workspace and other computer-based applications.
- Excellent attention to detail and accurate data-entry skills.
- Highly organized with strong prioritization and follow-through.
- Comfortable communicating with patients, providers, clinic staff, and insurance payers.
- Able to handle confidential patient information and follow HIPAA requirements.
- Able to work independently while maintaining productivity and accuracy.
- Must be willing to work onsite in Davao.
