What does it mean to be a Sourcing and Operations Manager within Escalon’s People Operations Team?
The Sourcing and Operations Manager is responsible for supporting recruiting delivery operations for RPO, RPO with Phone Screens, and Retained Search production line from intake through candidate submission. This role manages recruiting infrastructure and operational workflows for each client including setup, job posting, and job advertising. The Sourcing and Operations Manager manages the India-based Talent Sourcer and is accountable for reviewing team output, supporting workload management, process consistency, and escalating issues to the practice leader as needed.
What You’ll Do:
Day-to-Day Responsibilities also include:
- Receive completed intake documents from the Practice Leader and oversee all recruiting activities that follow, including sourcing coordination, candidate screening support, submission preparation, and candidate delivery through submission stage.
- Review candidate submissions for completeness, accuracy, and alignment with role requirements before submission to practice leader
- Configure a branded ATS instance for each new client including pipeline stages, screening questions, job posting templates, and related recruiting workflows
- Maintain ATS data quality across all active clients: candidate status, disposition tracking, and pipeline maintenance
- Post finalized job descriptions to Indeed, LinkedIn, and other relevant boards for all active roles
- Coordinate paid job advertising activities, including: targeting, budget pacing, refreshing job-postings, and monitor job-post performance
- Build passive candidate sourcing lists for Retained Search engagements
- Create screening forms and qualification criteria for the Talent Sourcer to use on each active role
- Conduct screening calls directly on Retained Search engagements and select RPO with Phone Screens roles
- Package qualified candidates into submission documents with structured notes, scorecard summaries, and compensation expectations
- Produce weekly pipeline and activity reports for all active Retained Search engagements
- Produce monthly pipeline summaries for all active RPO and RPO with Phone Screens engagements
- Manage the Talent Sourcer's workload, output quality, and development
Metrics:
- Timely updates to ATS data for all candidates when stats change occur
- Support timely development of qualified candidate pipelines in accordance with engagement timelines and role-specific sourcing conditions.
- Support quality candidate submissions by maintaining alignment of candidates with given role
- Weekly and monthly reports delivered timely
What You'll Bring
Must Haves:
- Minimum 5 years: experience in recruiting operations, talent acquisition, or HR operations with demonstrated ownership of sourcing and screening workflows
- Working experience configuring and managing an ATS (ExactHire, Greenhouse, Lever, Workable, or similar)
- Experience posting and managing jobs on Indeed and LinkedIn including sponsored postings
- Demonstrated Experience preparing deliverables for client stakeholders
- Capable of managing and developing a junior team member
- Bachelor's degree in Human Resources, Business, or a related field, or equivalent professional experience
Computer Program/Resource Requirements:
- ATS platform proficiency (ExactHire preferred)
- Microsoft Office suite including Word, Excel, and Outlook
- Microsoft Teams for internal communication and video calls
Nice to Haves:
- Prior experience in an agency, RPO, or multi-client recruiting environment
- Familiarity with LinkedIn Recruiter or similar tools for passive candidate identification
- Experience managing paid job advertising budgets on LinkedIn and Indeed
- Master's degree in Human Resources or Business Administration
- SHRM-CP, PHR, or equivalent HR certification
Computer Program/Resource Preferred:
- LinkedIn Recruiter or equivalent passive sourcing tool
- HubSpot or Salesforce CRM familiarity
