GENERAL DESCRIPTION
Performs advanced (senior-level) professional assistance work for an executive, involving coordinating high-level administrative operations in the Office of the Texas Secretary of State Executive Division. Works under the supervision of the Deputy Secretary of State with limited supervision and considerable latitude for the use of initiative and independent judgment.
EXAMPLES OF WORK PERFORMED
Provides primary support and coordinates activities for the executive division to include scheduling, travel arrangements, preparation of travel vouchers, and processing of expenses.
Manages daily calendar and schedules meetings with agency staff and external entities.
Assists in coordinating and tracking executive assignments and activities.
Prepares and/or proofs for accuracy various documents, including correspondence, memos, meeting notices and agendas, charts, presentation slides, handouts, forms, and spreadsheets.
Attends meetings as a representative of the division.
Collects executive and legislative reports and communication.
Coordinates, acquires, transcribes, or composes information for the executive division.
Maintains accurate files, statistics and legislative analysis for the division.
Disseminates information to staff in a timely manner.
Responds to sensitive issues, concerns and questions promptly.
Promotes and demonstrates appropriate respect for coworkers and all work-related contacts.
Any other duties as assigned/requested by leadership.
GENERAL QUALIFICATION GUIDELINES
Experience and Education
·Graduation from a standard senior high school or equivalent with experience supporting senior level leadership (director level or higher) in a government, corporate, or large nonprofit environment.
·A minimum of three years of experience in managing large projects, coordinating special events, scheduling meetings and commitments, including travel, with complex calendars and time constraints.
·Consistent and punctual work attendance at the workplace.
Knowledge, Skills, and Abilities
Knowledge and experience in executive or governmental business practices and procedures.
General knowledge of legislative and legal practices and procedures.
Skill in administrative management and organization.
·Effective written and spoken communication skills.
·Ability to build and maintain relationships and informal networks.
Ability to handle high-level administrative issues and solve work-related problems.
Ability to handle highly confidential documents and information.
Ability to establish and maintain effective working relationships.
·Ability to manage conflicting priorities within assigned time frame.
·Ability to plan and organize a variety of events in fine detail.
