QUALIFICATIONS:

  • High School diploma or GED required
  • College degree preferred
  • Minimum 2 years’ experience as an administrative assistant.
  • Excellent written and verbal communication skills
  • Ability to work with people of diverse backgrounds and circumstances
  • Demonstrate a positive attitude, with ability to work with people of diverse backgrounds and circumstances
  • Able to maintain a non-judgement attitude, professional approach and boundaries
  • Strong organizational, project management & file management skills.
  • Ability to manage multiple priorities simultaneously while paying critical attention to detail.
  • Thrive in a team-oriented environment.
  • Capacity to multi-task well.
  • Computer literate in MS Office applications.
  • 2 years of professional experience working with databases and data management along with demonstrated effectiveness in staff training expected.
  • Experience and/or ability to learn, navigate, and train on social service software & platforms including Wellsky and Turbo Stats
  • Valid AZ driver’s license with a clean driving record
  • Ability to pass the TSA Fleet Safety e-learning module
  • Must pass a criminal background check

RESPONSIBILITIES:

  • Corresponds on behalf of supervisor with internal TSA DHQ leadership, program directors and outside entities, including government entities, foundations, funders and dignitaries.
  • Conserves supervisor’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains supervisor’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Assists in the development of presentations using PowerPoint and Excel.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, & graphics.
  • Oversee special projects for the department, and as needed.
  • Assist with setting up employees with social services required Wellsky licensing, tailor input screens and help personnel with troubleshooting reporting issues and providing technical support.
  • Assist with providing individual Wellsky training when assigned.
  • Assist with dissemination of information on available training opportunities.
  • Maintains staff confidence and protects operations by keeping information confidential
  • Completes administrative duties as needed including bill transmittals and paperwork
  • Ensures project completion, including quarterly reports, assigned
  • Prepares reports by collecting and analyzing information.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories
  • Reconciles business travel and expenses account in keeping with Finance Department standards.
  • Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
  • Maintains professional and technical knowledge
  • Contributes to team effort by accomplishing related results as needed.
  • General clerical duties and other related duties as assigned.
