About the role
As Site / Training Administrator, you will play a critical role supporting UGL’s operations at the APLNG site Reporting to the Senior Cost Controller, you will be responsible for coordinating training and competency compliance, employee onboarding, site administration, payroll and financial reporting activities for UGL employees and subcontractors.
This position is central to ensuring people, systems and processes are aligned with contractual, client and statutory requirements, while providing high‑quality administrative and training support in a fast‑paced operational environment.

Key responsibilities
• Coordinate onboarding, mobilisation and demobilisation for UGL employees and subcontractors
• Manage site training, inductions, competencies and compliance through Beakon and UGL systems
• Plan, arrange and track internal and external training activities (on‑site and off‑site)
• Maintain employee records, contact lists and organisational charts
• Support payroll processes including timesheets, labour reporting and audits
• Assist with labour, overhead and third‑party forecasting and reporting
• Raise purchase orders and support site purchasing activities using SAP and VIMS
• Manage PPE, uniforms, IT equipment and site access requirements
• Support HSE reporting and ensure compliance with UGL policies and legislative requirements
• Liaise with People & Culture, client representatives and third‑party providers
• Contribute to continuous improvement of site administration and training processes
About you
• Previous experience in site‑based administration or training coordination (Oil & Gas or resources preferred)
• Strong understanding of onboarding, payroll, labour reporting and training compliance
• Experience working with Learning Management Systems (Beakon highly regarded)
• Strong SAP experience and confidence working with financial and labour data
• High attention to detail with strong organisational and time‑management skills
• Confident communicator with the ability to build relationships across all levels
• Intermediate to advanced Microsoft Office skills
• Ability to work autonomously, manage competing priorities and meet deadlines
• Professional, flexible and safety‑focused approach
