As Site Operations Lead, you will be responsible for overseeing the daily operations management of our large office site. This role involves careful planning and ensuring operational efficiency with sense of urgency to support business objectives & maintaining a positive employee experience. You will report to the Site Leader and will collaborate with cross-functional teams, oversee the facility management operations including soft services and manage resources to maintain a productive and safe work environment.
Key Responsibilities:
Operational Management:
Oversee the daily operations of the office site, ensuring efficiency and adherence to company policies.
Facility management oversight – handle escalations if any
Take measures to best utilize the infra, adopt and roll out new work practices
Work with IT / facilities to ensure proper tracking of assets, AMC renewals etc.
Connect with local landlord for escalations / issue resolution
Participate in monthly operating review with the facility mgmt. team
Work under the direction of the site leader to define and track site Operations budget
Coordinate with 3 business finance leaders to ensure budget approvals, IFM billings, business wise allocation of expenses, Opex costs liquidation, etc.
Establish periodic expense tracker and dashboards and implement ways to optimize costs
Periodic connect with site-based business leaders to update Operation milestones
Process Improvement:
Identify and implement process improvements to enhance operational workflows.
Enhancements of existing processes for visitor registration, transportation arrangements, help with logistics for visitors
Monitor and analyse performance metrics to drive continuous improvement
EHS, Safety and Compliance
Ensure compliance with all safety regulations and company standards.
Coordinate with HR/ Legal for any labor law / compliance related matters
Coordination with site security leader for any relevant activities e.g. local traffic /weather / site access related communications
Conduct regular visits of floors/labs, enabling the user follow EHS guidelines, report and remediate any open EHS related issues
Coordinate with site evacuation / fire drills arranged by landlord
Coordinate with ERT (Emergency Response Teams)
Employee engagement events at site and communications
Coordinate & support business team organizers for leadership visits / important events
Provide admin support to GE Vernova volunteer / Affinity group activities
Coordinate with Sourcing – follow up on PR/ PO process for 2 legal entities / 3 businesses for any site wide requirements
Create & release HTC site wide communications reg. events, employee communications, monthly newsletter etc.
Own and update HTC site distribution lists periodically
Reporting and Documentation
Prepare and present regular reports on site operations performance to site leader and steering committee.
Maintain accurate and up-to-date documentation of operational procedures and records.
Required Qualifications/Skills:
Bachelor’s degree from an accredited university or college or equivalent knowledge or experience. Advanced degree preferred.
Minimum of 8 years of experience in handling operations management in a large office environment.
Strong analytical and problem-solving abilities.
Excellent communication (local language and English) and interpersonal skills.
Proficiency in operational management software and tools.
Desired Characteristics:
Able to offer new solutions to problems outside of set parameters and is able to construct and provide recommendations.
