Job Description
Audubon is currently seeking a Site Document Control to join our team in our Off Site Office. The Site Document Control assist in maintaining project documentation files consisting of technical data, engineering and supplier drawings, technical specifications, purchase orders and other project-required documents. Updates and maintains project document control record keeping system. Works under direct supervision and/or receives detailed written or verbal instructions to perform standardized tasks.
PRIMARY RESPONSIBILITIES
- Maintain the project Document Control System (DCS) in accordance with project procedures.
- Receive, log, track, and distribute project documents including drawings, specifications, RFIs, submittals, procedures, and vendor data.
- Ensure only current, approved revisions of documents are available for construction use.
- Control issuance and transmittal of documents to subcontractors, vendors, and client representatives.
- Track drawing revisions and ensure superseded drawings are removed from active circulation.
- Maintain accurate logs and drawing registers.
- Coordinate with Engineering to ensure timely processing of IFC, as-built, and redline drawings.
- Support compilation and verification of as-built documentation.
- Maintain quality records including inspection reports, test reports, NCRs, and turnover documentation.
- Assist QC team with tracking and compiling mechanical completion and turnover packages.
- Ensure document traceability aligns with project quality requirements.
- Generate document status reports, overdue reports, and tracking logs as required.
- Support audits (internal, client, or third-party) by providing accurate document records.
- Ensure compliance with client document control standards and project execution plans.
- Serve as primary point of contact for site document management.
- Coordinate with home office document control and project teams to ensure alignment.
- Support training of field personnel on document access and control procedures.
Health, Safety, and Environmental Responsibilities:

EXPERIENCE AND SKILL REQUIREMENTS
- 3+ years of document control experience in industrial construction, EPC, or capital projects.
- Experience with document management systems (e.g., Aconex, Procore, SharePoint, SmartPlant, EDMS, or similar).
- Strong understanding of revision control and document lifecycle processes.
- High attention to detail and organizational skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to manage multiple priorities in a fast-paced site environment.
- Oral and written communication skills with good vocabulary, good grammar and the ability to compose routine written communications.
