Job Description

Seymour Whyte, together with Vinci Grande Projects and Beca, has been chosen by ICON Water to deliver the Design and Construct upgrade of the Lower Molonglo Water Quality Control Centre - the ACT’s main wastewater treatment facility and the largest of its kind in inland Australia. This four-year project will modernise the plant’s waste handling systems, support future growth, and prepare for potential changes to air emission standards. Located near central Canberra, the upgrade will strengthen and future-proof critical infrastructure for the region.

About the role

Reporting into the project leadership team, you’ll play a key role in keeping project administration running smoothly. The role combines strong site administration with executive‑level support, assisting senior managers with reporting, coordination and day‑to‑day project requirements.

Hours are flexible between 16–20 per week, with the ability to tailor days and times to suit both the project and the right candidate.

Key responsibilities

  • Provide day‑to‑day site and project administration support
  • Assist with project reporting, including document preparation and compilation
  • Support senior managers with diary management, meeting coordination and correspondence
  • Prepare meeting agendas, minutes, presentations and project documentation
  • Assist with monthly project reporting and governance requirements
  • Coordinate meetings, catering, travel and accommodation where required
  • Liaise with internal and external stakeholders to support smooth project operations
  • Provide general administrative support to the broader project team as needed

About you

You’re a confident and capable administrator with strong organisational skills and the ability to work independently. You’re comfortable supporting senior leaders and juggling competing priorities in a busy project environment.

We’re looking for someone who can demonstrate:

  • Proven experience in a site administration, project admin or executive support role
  • Strong administrative and document‑management skills
  • High attention to detail and excellent written communication
  • Confidence working with senior managers and stakeholders
  • Proficiency across Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • The ability to manage multiple tasks and deadlines with a calm, professional approach
  • A current driver’s licence
  • Experience within construction, engineering or infrastructure projects will be highly regarded.
