We are currently seeking a Site Administrator to join our team in Portland, supporting our project execution and technical teams on-site. You’ll work closely with the site leadership team and subcontractors to ensure smooth administrative processes and compliance with project requirements.

This part-time role offers flexibility, with opportunities for paid overtime and the potential to move to full-time hours as project needs evolve.

Key Responsibilities

  • Provide high-level administrative support to the site leadership and project teams
  • Coordinate travel and accommodation for project personnel
  • Manage site documentation, including timesheets, purchase orders, and safety records
  • Assist with onboarding and mobilisation of new site staff
  • Maintain registers for equipment, training, and compliance
  • Support reporting and data entry for project tracking and performance
  • Liaise with internal departments and external vendors to ensure timely delivery of services and materials
  • Contribute to a positive and safety-focused site culture

About You

  • Proven experience in a site or project-based administrative role, ideally within engineering, heavy industrial, rail or construction environments
  • Strong organisational and multitasking skills in a fast-paced environment
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a multidisciplinary team
  • A proactive approach to problem-solving and continuous improvement
