Responsibilities:
Administrative Support: Assist with scheduling meetings, managing calendars, and coordinating communications among site staff, subcontractors, and suppliers.
Document Management: Prepare, organize, and maintain project documentation, including contracts, permits, and invoices.
Site Coordination: Assist in tracking project progress and reporting updates to management, ensuring all site activities are documented accurately.
Communication: Serve as a point of contact for site-related inquiries, facilitating communication between the office and the construction site.
Financial Tracking: Help with budget tracking, expense reporting, and invoice processing to ensure timely payments and adherence to project budgets.
Safety Compliance: Maintain safety documentation and assist in ensuring compliance with safety regulations and protocols on site.
Inventory Management: Monitor and manage inventory levels of office supplies and construction materials, placing orders as needed.
Reporting: Prepare regular reports on project status, site activities, and administrative tasks for management review.
Education Requirements/Qualifications:
High school diploma or equivalent; associate’s degree in business administration or related field preferred.
Previous experience in construction or a related administrative role is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent written and verbal communication skills.
Attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Job Requirements/Special Skills:
Ability to perform tasks on a construction site, including occasional lifting and walking on uneven terrain.
Strong problem-solving skills and attention to detail.
Excellent communication and teamwork abilities.
Familiarity with safety protocols in a construction environment is preferred.
Ability to work in conditions of varying heat and cold where noise levels are at or above 90 decibels.
