Job Title Site Admin Assistant (Bilingual: English & Chinese)

The Site Admin Assistant is responsible for providing day-to-day administrative and coordination support at the project site. The role ensures smooth site operations, effective communication between stakeholders, and accurate documentation management. A key aspect of this role is supporting bilingual communication (English and Chinese), facilitating coordination between internal teams, contractors, and external stakeholders where required.

What will you do?

- Site Administration

• Manage daily administrative activities for the site office.
• Handle incoming/outgoing correspondence, emails, and documentation.
• Maintain organized filing systems (physical and electronic).
• Support preparation of reports, presentations, and meeting materials.
• Monitor and manage office supplies and site consumables.

• Site Coordination

• Act as a central point of contact for site-related administrative queries.
• Coordinate meetings, schedules, and site visits.
• Liaise with contractors, vendors, and internal departments to support site activities.
• Assist in tracking site activities, documentation, and follow-ups.
• Support onboarding logistics for new site staff.

-Translation & Communication (English–Chinese)

• Provide verbal interpretation during meetings and discussions when required.
• Translate documents and communications between English and Chinese.
• Ensure clarity and consistency in communication.
• Support cross-cultural communication and coordination.

-Documentation & Compliance

• Maintain accurate records of site documentation, logs, and registers.
• Ensure proper version control and document tracking.
• Support audits, inspections, and compliance documentation.
• Ensure adherence to company policies and site procedures.

-General Support

• Assist the Site Manager and project team with administrative tasks.
• Support travel arrangements, accommodation, and logistics.
• Coordinate with HR/Admin teams on employee-related matters.
• Ensure confidentiality of sensitive information.

Experience and Education Required:

• Diploma or Bachelor’s degree in Business Administration or related field.

• 2–5 years of experience in administrative or site support roles.

• Experience in coordinating with multiple stakeholders is preferred.

• *** Fluency in English and Chinese (spoken and written) is mandatory.***
