About the role:

Attend all vessels within the scope of responsibility, in compliance with applicable work processes, standards and procedures, with special attention to correct, accurate and timely use of the operating system. Act as WPS representative towards vessel crew and officers, provide Ships Agency attendance to vessels calling ports within the area of responsibility, proactively cater to vessel needs and requirements, and ensure effective coordination of port calls.

What you will be doing:

  • Attend and board vessels as required and directed by the respective Manager, in accordance with WPS SOO/SOP and Customer Requirements.
  • Responsible for the effective coordination of assigned port calls to ensure smooth and efficient vessel operations.
  • Advise on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required.
  • Ensure compliance with Ships Agency processes, standards and procedures, including correct use of the operating system (VOSS), and mandatory use of VOSS as a reporting tool in compliance with the SOP.
  • Ensure proper monitoring of the vessel and attendance to any follow-up enquiries; report ships arrival/sailing/cargo/commence/complete times and condition after office hours, as applicable.
  • Ensure the correct amount of pre-funding is received or the correct level of authority has approved any deviation, prior to performing the Port Call. The same applies when additional funding is required prior to the vessel’s sailing.
  • Establish and maintain vessel’s files and ensure that all transactional systems are updated in real time.
  • Ensure proactive, efficient, accurate, timely and professional communication at all times with all internal and external parties.
  • Report leads, business opportunities and relevant port updates observed to the Manager.
  • Monitor, record and track expenses that arise during vessels’ port calls; proactively follow up, check and approve supplier’s invoices; provide input to improve the operational and cost efficiency of the port call.
  • Ensure Cash-in-Transit (Cash to Master) as per WSS procedure.
  • Ensure cost-effective Vessel Operations.
  • Arrange all inward and outward formalities including quarantine/immigration/customs clearance.
  • Collect and process ships documents, as required throughout the port call.
  • Perform vessel visits, as required, in accordance with SOP and Customer Requirements, always ensuring with the Master that all husbandry, vessel and cargo requirements are in order.
  • As applicable, ensure all requirements relating to cargo matters are well understood and relayed to the Manager and other relevant parties.
  • Arrange sign on/off, shore passes or gate passes for crew/guests as instructed; assist with transportation of VIP, Master and crew as instructed.
  • Ensure mobile phones hired out to the vessel are signed for by the Master and collected prior to departure.
  • Comply with WSS PPE Standard when working in ports/onboard vessels.
  • Handle QHSSE matters in own function – use of Take 5 as appropriate.

Required experience and skills:

  • Maritime background and experience from Ship Agency Operations.
  • Good communication skills and command of the in English language (oral and written).
  • Process and system understanding.
  • Self-motivated and result orientated.
  • Proactive and possesses ability to anticipate issue to facilitate preventive measures.
  • Ability to work under pressure.
  • Problem solving skills with ability to make fast and sound judgement.
  • Ability to effectively plan & direct an operation without compromising on safety to personnel and vessel.
  • Good motivator and team leadership skills.
  • Familiar with Port & local Authorities regulations, procedures and governing tariffs.
  • Computer literate.
