Job Description

The Shipping Coordinator is responsible for planning, coordinating, and executing all outbound shipping activities to ensure accurate, on-time delivery of customer orders. This role works cross-functionally with internal teams, carriers, and customers to manage shipping documentation, schedule pickups, and maintain efficient logistics operations. The Shipping Coordinator also supports continuous improvement efforts by identifying process gaps, analyzing data, and implementing solutions to enhance shipping accuracy, reduce costs, and improve overall customer satisfaction.
Essential Duties & Responsibilities:
  • Coordinate outbound shipments to ensure on-time and accurate delivery of finished goods.
  • Schedule carrier pickups and communicate shipment details with internal teams and external partners.
  • Prepare and verify all shipping documentation, including Bills of Lading and export paperwork.
  • Create daily route packets for drivers, including all required instructions and documentation.
  • Photograph shipments prior to loading to confirm condition and accuracy.
  • Collaborate with customer service to arrange shipments, select carriers, and track orders.
  • Provide shipment updates and respond to customer inquiries as needed.
  • Generate and send Advance Shipping Notices (ASN) in accordance with customer requirements.
  • Support phone coverage and customer communication during peak or backup situations.
  • Participate in Kaizen and continuous improvement initiatives to eliminate waste and reduce variation.
  • Identify process gaps and implement corrective and preventive actions.
  • Collect and analyze shipping data to identify trends and improvement opportunities.
  • Contribute to the development and maintenance of standard work for shipping processes.
  • Ensure compliance with company policies, safety standards, and shipping regulations.
  • Support internal audits and maintain accurate records of shipping activities.
  • Promote “Quality at the Source” by verifying accuracy before shipment.
  • Perform other shipping and customer support duties as assigned.
Qualifications / Training / Skill Requirements:
  • Previous logistics experience preferred but not required.
  • Experience brokering freight and working with carriers.
  • Be process-oriented and have strong organizational skills.
  • Strong coordination, problem-solving, and decision-making abilities
  • Ability to establish and maintain an organized work environment.
  • Ability to use computer equipment and software applications (MS Office Products)
  • Good communication skills; both written and verbal.
  • Good follow-up skills.
  • Knowledge of safety and security measures when utilizing equipment and handling materials.
Education Requirements:
  • High School diploma or GED
  • BS in Logistics or Supply Chain Mgt. or similar degree preferred.
     
Experience Requirements:
  • Experience with Fourth Shift, QAD, or other MRP software is a plus.  Should be comfortable with using Excel, Word and Outlook.
  • Lean, Continuous improvement and Six Sigma DMAIC experience is preferred.
  • Physical Demands:
  • Ability to stand / walk more than 8 hours per day.
  • Ability to work in plant temperatures of 65 – 105 degrees.
