The Shipping & Receiving/ Facilities Coordinator is responsible for the timely and accurate distribution and collection of incoming and outgoing shipments, as well as department mail. This person is also responsible for the preparation and processing of shipments (UPS and LTL). In addition, this role will also support the facilities department in coordinating facility related activities.

50% - Prepare and Process Shipments

  • Prepare and process domestic or international shipments for UPS, and Trucks (LTL) per customer requirements.
  • Complete bill of lading and schedule for pick-up.

20% - Mailroom

  • Collect, sort and meter outgoing letters and packages for mailing.
  • Sort and distribute incoming mail and faxes to appropriate dept.
  • Record and sort outgoing and incoming boxes and deliver or notify the appropriate persons.
  • Miscellaneous mailroom duties: Deliver faxes; meter, bundle and place mail in mail bag; process literature requests; apply labels to envelopes and boxes.

20% - Facilities Coordination

  • Coordinate facilities maintenance, safety and upkeep for the Buv office as needed.
  • Work closely and partner with the Engineering, Sales and Product teams to ensure proper organization of storage areas (e.g. cages, pathways, dock etc.).
  • Coordinate any HSE related topics with the RBNA/HSE team and take the lead in identifying and resolving any safety related issues.
  • Create purchase requisitions for facilities, work with vendors, process goods receipt (where necessary).
  • May support the site management with any access control related tasks (e.g. new hire badges or keys) that may be assigned in future.
  • Promote and bring forth ideas for continuous improvement of the facility.
  • Other facilities projects according to the site needs.

10% - Other duties as assigned

  • Close and receive SAP purchase orders.
  • Order and maintain shipping supplies.
  • Operate mobile equipment when necessary with appropriate certification (forklift).
  • Deliver copy paper to printers throughout the building.
  • Collection and processing of recycling materials.

Qualifications

Required Qualifications:

  • High school graduate with a minimum of 3 years’ experience in a mailroom environment preferred.
  • Service oriented mindset.
  • Ability to organize work and manage multiple tasks.
  • Knowledge of basic accounting procedure skills.
  • For facilities coordination, additional training may be required according to the site needs.

Preferred Qualifications:

  • Lead experience preferred
  • Ability to routinely lift and carry 10 to 60-pound packages and operate all mailroom equipment (scales, meter machine, fax, copier, 10-key).
  • May involve tasks that require lifting, pushing, and pulling, along with standing for periods of time.
  • At times this role is in a normal office environment setting and may require light typing and periods of sitting.

Additional Information

The U.S. based hourly rate for this full-time position is $25.00-28.00 per hour. Within the range, individual pay is determined based on several factors, including, but not limited to, work experience and job knowledge, complexity of the role, job location, etc.

In addition to base salary, full-time employees are eligible to participate in Keenfinity Group's (US) Health and Welfare Benefit Plans—including medical, dental, vision, disability, and life insurance—as well as the company’s 401(k) plan, subject to the terms and conditions of the respective plan documents. Full-time employees are eligible to participate in Keenfinity Group’s paid time off and sick leave programs in accordance with applicable policies.
