A Day in Your Life at MKS
As a Shipment & Export Specialist at MKS Inc., you will collaborate closely with Production, Warehouse, Quality, Customer Support, and external logistics partners. You will report to the Manager, Import/Export Compliance and play a key role in coordinating international and domestic shipments, ensuring regulatory compliance, and supporting continuous improvement across all export activities — including those governed by dual‑use, military, and ANCEX/ITAR/EAR regulations.

You Will Make an Impact By

• Coordinating daily shipping and export operations to meet the organization’s Shipment Schedule.
• Preparing and validating all export documentation, including commercial/proforma invoices, packing lists, customs declarations, certificates of origin, and regulatory notifications.
• Managing communication and operational alignment with customs authorities, customs brokers, freight forwarders, carriers, and courier services.
• Ensuring full compliance with EU customs regulations, export control laws (dual‑use, military, ITAR/EAR), and internal MKS policies.
• Defining, documenting, and maintaining local shipping and export procedures, ensuring consistent implementation across the organization.
• Leading continuous improvement initiatives to optimize processes, reduce risks, and enhance delivery performance.
• Maintaining accurate digital and physical archives of all shipment and export documentation in line with regulatory retention requirements.
• Making operational decisions and coordinating actions with internal teams and external partners to resolve shipment or export issues in compliance with legislation.
• Working with Production, Quality Assurance, Warehouse, and Customer Support to improve shipment preparation and support On‑Time Delivery KPIs.
• Proactively identifying and escalating risks that may impact the daily Shipment Schedule and coordinating mitigation actions with local teams, global MKS functions, and external partners.
• Monitoring daily shipping/export performance by tracking actual vs. planned pickup dates.
• Issuing and communicating daily shipping/export performance reports to stakeholders.
• Providing training on shipping/export processes, documentation, and compliance requirements to internal teams.
• Ensuring full functional backup coverage for all responsibilities within the role.
• Completing training and qualification for military and ITAR‑regulated shipments and acting as backup for these operations when required.

Skills You Bring

• 3–5 years of experience in shipping, logistics, export operations, or trade compliance.

• Experience with customs authorities, freight forwarders, and import/export processes.

• Exposure to export control regulations (dual-use, ITAR/EAR) is a strong advantage.

• Knowledge of EMEA regional customs regulations and US and EMEA export control laws.

• SAP, Oracle, or equivalent ERP systems.

• Strong understanding of Incoterms and HS classification process.

• Proficiency in Microsoft Office Suite.

• Strong analytical skills with the ability to interpret and apply complex regulations.

• Strategic, pragmatic, and collaborative mindset.

• Strong organizational, communication, and planning skills.

• High attention to detail and compliance mindset.

• Ability to manage multiple priorities under deadline pressure.

• Continuous improvement and problem-solving capability.
