Applied Systems, Inc., a worldwide leader in insurance technology, is seeking a SharePoint & Collaboration Platform Administrative Coordinator to join our IT team. In this role, you will provide critical day-to-day operational and administrative support for our client-facing SharePoint environment, which currently serves over 150 active project sites per month across multiple lines of business. What You’ll Do

Day-to-Day SharePoint Administration

  • Coordinate SharePoint site creation (approximately 150 sites per month), and post site URLs to PSA, Confluence, and Jira systems.
  • Manage existing portfolio of SharePoint sites to ensure success.
  • Process and fulfill incoming SharePoint requests submitted via the JSM (Jira Service Management) ticketing platform.
  • Manage user access and permissions, reducing risk associated with manual permission handling.
  • Monitor, renew, and troubleshoot SharePoint token identification and refresh processes.
  • Support ongoing maintenance of workflows that automate site creation from new implementation project triggers.
  • Track and support DCCR (Data Conversion Change Request) processes and their synchronization with Jira through the RPA team.

Governance & Standardization

  • Assist in enforcing SharePoint governance policies, working with template owners across workstreams and delivery methodologies.
  • Maintain and update template documentation, identifying and flagging inconsistencies or ungoverned changes across US, CN, CN-French, and UK template variants.
  • Monitor storage utilization across client sites and escalate concerns that arise.
  • Maintain accurate records and documentation of administrative activity, site structures, and process changes.

Stakeholder Support & Communication

  • Act as a first point of contact for Project Manager inquiries related to SharePoint access, site setup, and functionality.
  • Communicate status updates on active tickets, site requests, and migration milestones to relevant stakeholders

We’re Excited to Learn More About You

  • 2+ years of experience in an administrative, operations, or technical coordinator role, preferably within a technology or professional services organization.
  • Working knowledge of Microsoft SharePoint (Online/Cloud), including site structure, permissions management, document libraries, and lists.
  • Familiarity with Microsoft 365 tools including Outlook, Excel, and Power Automate.
  • Experience with ticketing or service desk platforms (e.g., Jira Service Management, Jira, Confluence).
  • Strong organizational skills and attention to detail; ability to manage high volumes of routine requests with accuracy and consistency.
  • Excellent written and verbal communication skills; comfortable interacting with Project Managers, IT, and leadership.
  • Self-motivated and capable of working independently with minimal supervision.

You may have other skills, including

  • Familiarity with Salesforce, Certinia (FinancialForce), or community/portal platforms.
  • Prior experience in a SaaS, insurance technology, or implementation services environment.
