Role purpose

The key purpose of the Shared Services Advisor is to deliver specialist People operations support, drawing on established HR or operational experience to provide accurate, compliant, and timely service. Acting as a trusted first-line expert, this role provides operational and advisory support across all stages of the employee lifecycle. The Shared Services Advisor partners closely with People Business Partners, People team Centres of Excellence, and other functional stakeholders to ensure efficient HR processes and a consistent employee and leader experience. This role requires strong judgement, process capability, and a focus on continuous improvement within a dynamic environment.

KEY ACCOUNTABILITIES

People Operations

  • Lead and execute core People operations with a high degree of accuracy across the employee lifecycle (hire‑to‑retire).

  • Act as a first-line advisor for team member and leader enquiries, applying judgement to resolve complex queries and determining when escalation is required.

  • Ensure compliance with HR policies, procedures, and legislative requirements, providing expert interpretation and guidance where needed.

  • Deliver responsive, service-oriented support that balances consistency, risk, and business needs.

  • Maintain accurate employee data and process transactions in Workday, producing contracts, job change letters, and other documentation in line with SLAs and SOPs.

  • Provide data insights and undertake first‑level analysis to support stakeholder decision‑making.

  • Serve as a knowledgeable resource on People policies and operational practices, identifying risks and recommending improvements.

  • Support cyclical People processes (e.g., performance, remuneration, compliance training) by preparing materials, monitoring progress, and analysing outcomes.

  • Strengthen leader and employee capability in Workday through guidance, training, and enhancement of user documentation.

Process Improvement

  • Identify operational inefficiencies and champion opportunities for workflow standardisation, automation, or simplification.

  • Contribute to end‑to‑end process mapping, risk identification, and optimisation initiatives.

  • Influence adoption of solutions that improve service delivery, data integrity, and employee experience.

  • Identify recurring data needs and support the creation of automated reporting where appropriate.

Collaboration

  • Represent Shared Services in cross-functional People projects, providing operational insights that shape solution design.

  • Partner closely with HRIS, IT, Payroll, and other specialists to deliver seamless system integration and continuous improvement.

  • Collaborate with People Business Partners and Centres of Excellence during annual and enterprise-wide programs.

Specialist Development Opportunities

  • Potential stretch opportunities may be identified to pursue growth and development in specialist areas, including Employee Relations, HRIS, Reporting & Analytics, Performance & Reward, Talent Acquisition and Organisational Development, in line with individual development plans.

EXPERIENCE & CAPABILITIES

ESSENTIAL EXPERIENCE (what you have done)

  • Demonstrated experience in HR operations, shared services, or a complex customer-facing operational environment.

  • Strong background in process-driven work, case management, or system-based HR transactions.

  • Experience interpreting and applying HR policies, legislation, or compliance frameworks.

CRITICAL KNOWLEDGE (what you need to know)

  • Strong understanding of contemporary HR processes, employment legislation, and organisational compliance requirements.

  • Proficiency with HRIS platforms (Workday highly regarded), and comfort with learning new systems and digital workflows.

  • Solid working knowledge of Microsoft Office and data handling best practices
