Duties and Tasks

  • Enter new listings, offers, exchanges, and sales into MultiArray Real Estate Manager daily.
  • Cross-check source documents for accuracy and completeness before entry.
  • Update property status fields promptly to reflect current deal progression.
  • Prepare and reconcile settlement statements in line with contracts and trust records.
  • Record key dates (exchange, settlement, cooling-off expiry) and monitor progress through completion.
  • Generate and issue receipts accurately within same-day turnaround.
  • Generate commission, marketing, and settlement-related invoices as instructed.
  • Check amounts against contracts and authorised schedules.
  • Record and track payments to ensure reconciliation with settlement statements.
  • Assist with preparation of accounts receivable and payable reports as required.
  • Maintain compliance records for settlements, including proof of identification, contracts, and settlement correspondence.
  • Assist with preparation of audit documentation and compliance checklists.

Requirements

Qualifications

  • Demonstrated experience in real estate settlements or sales administration.
  • Proficiency with MultiArray Real Estate Manager or equivalent real estate software is preferred.
  • Prior experience working with Australian property or conveyancing teams preferred.
  • Knowledge of NSW trust account and settlement compliance standards.
  • High attention to detail, accuracy, and organisation.
  • Excellent written and spoken English communication.

This role is subject to a number of skills and possible online practical tests.

This position is an onsite role at our Pampanga office. Candidate must be willing to work on-site.
