Job Description

The Access Registrar is the first point of contact for patients entering the healthcare system. This role is responsible for accurately registering patients, verifying insurance, collecting payments, and ensuring all required information is complete to support patient care and the organization’s revenue cycle. The position requires strong customer service, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Minimum Qualifications

  • Education: High school diploma or GED required; college coursework in business or accounting preferred
  • Maryland resident
  • Individuals eligible for the Maryland Service Year Program (generally ages 18–24)
  • Experience:
    • Prior customer service experience preferred
    • Healthcare registration, scheduling, or business office experience preferred
  • Skills & Abilities:
    • Knowledge of registration, admissions, and insurance verification processes
    • Strong communication and customer service skills
    • Ability to multitask and work under pressure with minimal supervision
    • Attention to detail and accuracy in data entry
    • Working knowledge of medical terminology and insurance payers
    • Ability to use tact, diplomacy, and sound judgment when interacting with patients
    • Basic computer and office equipment proficiency

What You’ll Do

  • Register patients by collecting and entering demographic, insurance, and billing information
  • Verify insurance coverage, pre-authorizations, and medical necessity
  • Inform patients of financial responsibility and collect payments when applicable
  • Communicate with physician offices and internal departments to gather and validate information
  • Schedule services and ensure all documentation and orders are complete
  • Answer phones and assist patients, families, and visitors in a professional manner
  • Maintain accurate records in the electronic health record (EHR) system
  • Follow up on accounts and resolve registration or billing issues

  • You are often the first impression of the organization—patients may be anxious, frustrated, or confused
  • The role is fast-paced with constant multitasking (phones, patients, data entry at the same time)
  • Accuracy is critical—small errors can impact billing, insurance, and patient care
  • You’ll need to confidently discuss financial responsibility and payments, which can be uncomfortable at times
  • Workloads can fluctuate depending on patient volume, and priorities may shift quickly
  • Flexibility is required, including schedules that support a 24/7 healthcare environment

Work Environment & Demands

  • Primarily desk-based but may require standing and moving between work areas
  • Frequent computer use, phone communication, and face-to-face interaction
  • High level of concentration and attention to detail required throughout the day
  • Continuous multitasking and problem-solving
  • Occasional exposure to clinical environments and healthcare settings (as shown in physical/working conditions tables on page 3)

  • Patients feel welcomed, informed, and supported during the registration process
  • Insurance and billing information is verified correctly the first time
  • Financial conversations are handled professionally and confidently

  • Strong collaboration with departments and physician offices to ensure smooth patient flow
