Keep Heavy Equipment Operations Running Smoothly

Are you highly organized, customer-focused, and comfortable working in a fast-paced service environment? We're looking for a Service Writer to join our Fort McMurray team.

In this role, you'll be the central point of coordination between customers, technicians, parts personnel, and shop leadership. You'll play a critical role in ensuring work orders are processed accurately, service activities stay organized, and customers receive exceptional support from start to finish.

Job Description:

What You'll Do

Customer Service & Service Coordination

  • Serve as a primary point of contact for customers, providing professional and timely support.
  • Receive and log service calls for field technicians.
  • Dispatch field technicians and maintain visibility of technician locations to support safe operations.
  • Build and maintain strong relationships with new and existing customers.
  • Coordinate with the Shop Foreman, Service Manager, and Parts Department to ensure smooth execution of service work.
  • Schedule lube technicians and maintain the shop service board.
  • Support equipment exchanges and service-related customer requests.

Work Order & Administrative Management

  • Open, update, process, and close work orders accurately.
  • Prepare customer invoices and ensure all billable documentation is complete and accurate.
  • Track purchase orders and follow up with customers as needed.
  • Maintain Service Maintenance Files (SMFs) and equipment records.
  • Update equipment statuses and maintain accurate service documentation.
  • Coordinate Non-Destructive Testing (NDT) requirements and maintain tracking records.
  • Ensure paperwork is completed and processed in a timely manner.
  • Utilize systems such as Microsoft Excel and RentalMan to support daily operations.

Operational Support

  • Provide mechanics with the documentation required to complete daily work assignments.
  • Maintain customer-owned equipment records.
  • Identify opportunities to improve efficiency and support cost-effective branch operations.
  • Collaborate with service leadership to support branch performance and customer satisfaction.

What We're Looking For

Qualifications

  • 2 to 5 years of experience in a mechanical, service, heavy equipment, transportation, or shop environment.
  • Strong administrative and organizational skills.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Strong customer service and communication skills.
  • Comfortable working independently with minimal supervision.

Technical Skills

  • Proficiency with Microsoft Office applications, particularly Excel.
  • Experience with computer-based service, inventory, or maintenance systems.
  • Ability to learn new systems and processes quickly.
