The role of the Service Writer is to support the day-to-day operations within the service shop by preparing service estimates and work orders and ensuring accurate and timely communication with the service shop and customers.
Responsibilities
• Provide prompt, courteous and accurate service to customers
• Book service appointments
• Open and close work orders within the required time frame
• Creating, entering, administrating, and closing warranty claims
• Communicating service and warranty information to the foreman and technicians by means of repair orders
• Handle incoming phone calls in a professional manner
• Deal with customer issues, requests, questions and complaints in a timely manner
• Educate clients about the company’s products, services and offers.
• Schedule appointments, take orders, monitor service progress, calculate charges and process payments.
• Ensuring paper flow and record keeping for the service department is completed
• Update accounts, initiate billing and process claim payments and receive payment for services.
• Arrange for refunds, exchange and credit for returned merchandise
• Work closely with the Service Team for smooth operations of the shop as per Company processes and guidelines
• Accurately record customers’ truck problems and repair requests
• Keep customers updated regularly regarding ongoing repairs
• Gain knowledge of warranty policies & practices
• Participate in any technical or development training that is made available
• Perform other duties as required
• Perform the role in a professional manner that aligns with the Company’s’ values and ideals

• Excellent customer service skills
• Exceptional computer skills in Microsoft Office and industry-specific software Visual Manufacturing
• Excellent organizational skills
• Problem-solving and listening skills
• Patient disposition and ability to resolve conflicts
• Basic accounting skills and knowledge of electronic payment systems
• Being innovative and open minded to new philosophies and ideas to improve any processes necessary to make the maintenance as effective and efficient as possible
Qualifications
• 1-2 years previous Service Writer experience is required. Similar relevant experience may be considered.
• Preference to people with experience in heavy haul or heavy equipment.
• Able to multi-task and prioritize your work
• Previous experience using Visual Manufacturing an asset.
Working Conditions
• The work performed is carried out indoors in a regulated environment
• Regular exposure to industrial shop hazards which require additional protection from noise, fall hazards and air quality. Safety boots must be worn.
• Regular fast pace or work with tight deadlines
• A medium stress environment due to timelines

• Days Monday – Friday 7:00 am – 3:30pm
