About the Role

The Service Sales Coordinator – Spare Parts is based in Muscat, Oman and plays a key role in supporting the aftersales business by managing spare parts operations for direct customers, dealers, and service teams. The role is responsible for handling end-to-end spare parts coordination, including RFQs, order processing, inventory management, and supplier coordination.

This position ensures timely availability of parts to support service delivery, contributes to achieving sales targets and hit ratios, and enhances customer satisfaction through efficient coordination. The role also works closely with internal teams and HQ to ensure smooth operations, accurate forecasting, and continuous improvement in spare parts processes.

How You Will Make an Impact

  • Manage spare parts business operations, supporting direct customers, dealers, and service teams to ensure timely availability of materials.
  • Handle RFQs through calls and emails, prepare quotations, and follow up to improve conversion (hit ratio).
  • Process spare parts transactions in SAP, including sales orders, delivery notes, invoicing, and payment follow-ups.
  • Coordinate with Sales, Operations, and Warranty teams by identifying correct part numbers and ensuring timely support for service job completion.
  • Maintain optimal inventory levels, monitor stock movement, and improve inventory turnover (ITO) through effective planning.
  • Conduct regular physical inventory checks, reconcile variances, and maintain accurate system records.
  • Prepare Recommended Spare Parts Lists (RPL) based on project requirements and customer needs.
  • Manage dealer spare parts accounts, provide training on parts identification, and support them in handling end customers.
  • Source and manage local vendors, ensuring quality, cost efficiency, and timely delivery of materials.
  • Coordinate with HQ for material follow-up, technical clarification, and quality-related matters.
  • Track shipments, storage, and delivery to ensure smooth logistics and avoid delays in service operations.

What You Need to Succeed

  • Bachelor’s Degree or Diploma in Engineering (Mechanical / Electrical or related field).
  • Minium 5 years of experience in spare parts, service coordination, or HVAC aftersales operations.
  • Technical background (Mechanical / Electrical / HVAC preferred).
  • Experience in HVAC service or spare parts business is a strong advantage.
  • Hands-on experience with SAP, Salesforce, or any ERP/CRM system.
  • Strong knowledge of MS Office, especially Excel for reporting and data analysis.
  • Experience in inventory management, order processing, and vendor coordination.
  • Understanding of key KPIs such as Hit Ratio, Inventory Turnover (ITO), and sales tracking.
  • Good English communication skills (written and verbal); ability to prepare professional quotations and correspondence.
  • Strong multitasking and coordination skills with attention to detail.
  • Good analytical and problem-solving abilities.
  • Ability to work in a fast-paced, multicultural environment.
  • Team player with good interpersonal skills.
