Job Description

We are seeking an experienced Associate to support the Client Onboarding team within a fast-paced banking environment. The successful candidate will play a key role in supporting advisor transitions, facilitating client account transfers, and ensuring accurate and timely onboarding activities for new and existing clients.

This role is ideal for a detail-oriented operations professional with strong organizational skills, experience in banking operations, and the ability to manage multiple priorities in a high-volume environment. The candidate will work closely with advisors, operations teams, and internal stakeholders to ensure a seamless onboarding and transfer experience while maintaining compliance with internal policies and procedures.

Location: Toronto, ON (Hybrid – 2–3 days in office)
Contract Length: 6 Months (Extension or FTE Conversion Possible)
Hours: 9 AM–5 PM EST (may vary depending on advisory team time zones)


Pay: T4: 24.5/h / IC:28/h
RESPONSIBILITIES

  • Support and facilitate client account transfers for advisors transitioning from other financial institutions.
  • Open and establish new client accounts while ensuring accuracy and compliance with internal procedures.
  • Track, monitor, and follow up on pending client transfers and onboarding activities.
  • Review documentation, policies, and account information to ensure completeness and regulatory compliance.
  • Manage escalations and resolve onboarding or transfer-related issues in a timely manner.
  • Maintain accurate records and documentation related to client onboarding activities.
  • Collaborate with advisors, operations teams, and internal stakeholders to ensure efficient processing and client service.
  • Support ongoing operational processes and administrative activities within the Client Onboarding team.
  • Utilize Microsoft Excel, Word, and internal banking systems to manage data, reporting, and account activities.
  • Maintain strong attention to detail while handling sensitive client and operational information.


QUALIFICATIONS

  • 2–3+ years of banking operations experience, preferably supporting account openings, transfers, or onboarding activities.
  • Previous experience within Wealth Operations or retail/everyday banking operations environments preferred.
  • Experience supporting account setup, client transfers, and operational processing activities.
  • Strong proficiency with Microsoft Excel and Microsoft Word.
  • Comfortable working with technology, operational systems, and large volumes of data.
  • Experience handling escalations, issue resolution, and policy or procedural reviews.
  • Strong organizational skills and ability to manage multiple priorities in a deadline-driven environment.
  • Excellent communication and interpersonal skills with the ability to collaborate across teams.
  • High attention to detail and commitment to operational accuracy and compliance.

Preferred

  • Previous customer service experience within banking or financial services.
  • Bilingual communication skills in French and English.
  • Interest in learning banking platforms, onboarding systems, and operational processes.
  • Motivated self-starter with a willingness to learn and grow within the organization.

Education:

  • Post-secondary education in Business, Finance, Administration, or a related discipline preferred.
