About us

The Service Parts Specialist is responsible for the administration, coordination, validation and ongoing maintenance of Master Parts List (MPL) documentation once the first draft has been created and the required parts have been added by the relevant product or technical teams.

About the role

The role ensures that parts information, documentation, status and system records are complete, accurately controlled and progressed through the required review and release steps. It supports service readiness for new product launches and maintains service parts information throughout the product lifecycle.

Working across internal functions, global service teams and Joint Development Manufacturing (JDM) partners, the role provides a central point of coordination for MPL updates, queries, approvals and record keeping. It also supports process standardisation, reporting and continuous improvement across service parts administration.

Key Responsibilities include:

Master Parts List Administration

  • Take ownership of the MPL after the first draft has been created and the initial parts have been added.
  • Check MPL records for completeness, consistency, required fields and supporting documentation, following defined standards and checklists.
  • Coordinate reviews, approvals and release activities with the relevant stakeholders, tracking actions through to closure.
  • Maintain version control, document history and an auditable record of changes, decisions and approvals.
  • Update released MPLs following approved product, part, market or configuration changes.
  • Maintain clear naming conventions, status fields and document storage in line with agreed governance requirements.

Product Launch and Change Administration

  • Monitor MPL readiness against launch and change timelines and provide regular status updates.
  • Coordinate the collection of information and documentation required to complete service parts records.
  • Process approved service-related changes and ensure associated MPLs, trackers and documents are updated.
  • Highlight missing information, overdue actions, data inconsistencies or approval delays to the appropriate owner.
  • Support launch and post-launch reviews by preparing status summaries, action logs and completion records.

Cross-Functional and Market Support

  • Act as the administrative point of contact for routine MPL and service parts queries.
  • Coordinate responses to global market and service team requests, routing technical questions to the appropriate subject matter owner.
  • Prepare concise service parts summaries, one-page updates and briefing materials using approved information.
  • Organise meetings, maintain action logs and follow up with internal teams and external JDM partners to secure required inputs and approvals.
  • Maintain shared files, trackers, templates and records so that current information is accessible to authorised users.

Data Quality, Reporting and Governance

  • Complete defined administrative quality checks before MPLs progress to approval or release.
  • Monitor agreed KPIs for documentation completion, accuracy, timeliness, outstanding actions and query volumes.
  • Produce regular reports and dashboards using data from approved systems and trackers.
  • Identify recurring data or process issues and support corrective actions with the relevant process owner.
  • Ensure records are retained and managed in line with applicable document control, data and governance requirements.

Process and Systems Support

  • Use PLM, ERP and related business systems to create, update, track and retrieve service parts records in accordance with defined procedures.
  • Support the development and maintenance of standard operating procedures, checklists, templates and user guidance.
  • Identify opportunities to simplify administrative workflows, reduce manual handling and improve data visibility.
  • Support user testing, data clean-up, process rollouts and adoption of improved digital tools.
  • Share feedback on system or workflow issues and support resolution with the appropriate system or process owner.

About you

  • Degree, diploma or equivalent practical experience in business administration, operations, supply chain, customer service, information management or a related discipline.
  • Experience in an administrative, coordination, document control, data management, product support or service operations role.
  • Experience maintaining structured records, trackers, parts lists, bills of materials, product information or controlled documentation.
  • Strong attention to detail, with the ability to check data for completeness, consistency and accuracy against defined requirements.
  • Good planning and organisation skills, with the ability to manage multiple actions, deadlines, reviews and approvals.
  • Confident communication and stakeholder coordination skills across different teams, markets and external partners.
  • Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Word and Teams.
  • Ability to follow defined processes while identifying practical opportunities to improve administrative efficiency.
  • Comfortable working with business systems and learning new tools for document, workflow and data management.

Preferred:

  • Experience supporting new product launches, product changes, aftersales, service operations or product lifecycle administration.
  • Experience working with external manufacturing or Joint Development Manufacturing (JDM) partners.
  • Experience supporting global markets or regional service teams.
  • Familiarity with Product Lifecycle Management (PLM), Enterprise Resource Planning (ERP) or document management systems.
  • Experience with data reporting, workflow tracking, process documentation or continuous improvement activities.
  • Experience in consumer electronics, appliances, manufacturing, service or another product-based environment.
