Job Description

We have an exciting vacancy for a friendly, adaptable, and highly organised Service Operations Administrator to assist our team.

Share the Dignity is passionate about our work helping women, girls and those who have a period, who are in need and eliminating period poverty in Australia. As a relatively young charity (11 years old), there are still so many ways to grow and improve what we do, and we are looking for people who would relish the challenge of being a part of this phase.

This role is a permanent full-time position based on site at our office in Virginia, Queensland. The Service Operations Administrator will report to our Service Operations Manager and support our Service Operations team with administration related to logistics and preparation for key initiatives such as Sponsor a Bag, Aboriginal and Torres Strait Islander Wellbeing Program, Dignity Drives, and It’s in the Bag.

Duties include:

  • Supporting the transportation, logistics, storage and movements of donations and stock in and out
  • Monitoring donations and organising stock and stocktake for various programs and initiatives to support key deliverables of the Service Operations Team
  • Administer purchase or in-kind donations of stock and organise storage solutions
  • Manual handling of stock to prepare for and facilitate internal and external packing events
  • Ensure effective support and communication to internal and external stakeholders
  • Maintain accurate data and records in databases, spreadsheets, documents, and IT systems

We are looking for someone who can bring their enthusiasm, attention to detail and can-do attitude to help support the team with a mix of administrative and physical tasks. This role will be responsive, fast-paced, exciting, and rewarding understanding you are part of the bigger picture of working to achieve the charity’s goals.

Being adaptable, flexible, and responsive to changing circumstances is a must. As is your ability to establish warm and respectful relationships with all stakeholders of Share the Dignity and communicate effectively in person, via email and using online communication tools.

You are someone who is highly motivated, organised, physically capable, experienced with stock handling, proficient in Microsoft Office, communicates in a professional and respectful manner, and can work cohesively in a busy team.

To be a successful candidate you will have:

  • Certificate III or Diploma in Business Administration, Transport and Logistics, Warehouse Operation or similar field, or previous experience/on the job training relevant to this role
  • Proven experience in administration, juggling priorities, and ability to uphold timeframes with high level organisation skills, eye for detail and the ability to plan and adapt when required
  • Strong collaborative approach and willingness to help with any task required
  • Desire and ability to follow through on delegated tasks and projects and report back on progress
  • Strong knowledge and proven experience with Microsoft Office suite
  • High level of written and verbal communication skills and ability to provide an exceptional level of customer service to a wide range of stakeholders
  • Open and current driver licence to drive Share the Dignity van to deliver or pick up items and stock
  • Ability to perform safe manual handling of large volumes of stock

Desirable skills:

  • Previous experience in not-for-profit environment
  • Experience with logistics
  • Experience supporting volunteers
  • Experience troubleshooting basic common IT issues

As this is a very hands-on role, you will be someone who promotes a safe work environment whilst being comfortable with physical work. Being passionate about supporting the team, having willingness to accept and meet challenges, whilst being proactive, adaptable and flexible will be the key to your ongoing success.
