Job Description

The Service Operations Administrator plays a critical role in supporting the daily operations of the service department. This position is responsible for managing and maintaining the accuracy of Repair Orders (ROs) within both CDK and Tools platforms, ensuring alignment and compliance with internal policies and industry standards. The ideal candidate is detail-oriented, highly organized, and capable of providing administrative support across multiple service functions.

Key Responsibilities:

  • Open CDK Repair Orders to mirror Tools Repair Orders in real time, ensuring seamless integration and accuracy across platforms.
  • Review and audit completed Repair Orders from the previous day for completeness, accuracy, and compliance with company, warranty, and regulatory standards.
  • Validate that all relevant documentation—including parts, labor, and service details—is properly recorded in both CDK and Tools ROs at the time of closing.
  • Ensure strict adherence to AutoNation policies, warranty requirements, and industry standards for all service documentation.
  • Provide administrative support to the Service Leadership team, assisting with various duties as needed to ensure smooth operations.
  • Support service and fleet teams in scheduling, dispatching, and other key operational activities.
  • Handle incoming phone calls professionally and assist with general inquiries when necessary.
  • Assist the Operations Manager with additional projects and tasks as assigned.


Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Experience in automotive service operations, administration, or a related field is a plus.
  • Proficiency with service management software (e.g., CDK) and Microsoft Office Suite.
  • Strong attention to detail and organizational skills.
  • Ability to multitask in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Team-oriented with a proactive and flexible attitude.
