The Service Coordinator is responsible for planning, coordinating, and monitoring service activities to ensure customer requests, maintenance work, inspections, and repairs are completed safely, efficiently and on time. The role acts as the primary link between customers, service technicians, sales teams, and internal support functions, ensuring clear communication and a high level of customer satisfaction.

Key Responsibilities

Service Planning & Scheduling

  • Schedule and allocate technicians based on skills, location, availability, and priority.

  • Coordinate preventive maintenance, breakdowns, commissioning, and project-related service activities.

  • Optimize technician utilization and productivity.

  • Manage resource conflicts and prioritize urgent customer requirements.

Customer Communication

  • Act as the primary point of contact for service customers.

  • Receive and process service requests.

  • Provide updates on technician availability, job progress, and completion status.

  • Manage customer expectations regarding timelines and service delivery.

Work Order Management

  • Create, monitor, and close service work orders.

  • Ensure all job documentation is accurate and complete.

  • Track job progress and follow up on outstanding actions.

  • Maintain service records within the company's ERP/CRM systems.

Parts & Procurement Coordination

  • Liaise with procurement and warehouse teams to ensure parts availability.

  • Monitor critical spare parts requirements.

  • Escalate supply shortages or delays impacting customer commitments.

Service Delivery Performance

  • Monitor service response times and completion rates.

  • Ensure service activities meet contractual obligations and KPIs.

  • Identify scheduling bottlenecks and recommend improvements.

  • Support continuous improvement initiatives.

Financial Administration

  • Review technician timesheets and job costs.

  • Ensure service jobs are accurately invoiced.

  • Monitor WIP (Work in Progress) and assist with revenue recognition processes.

  • Support quotation follow-up and service contract administration.

Health, Safety & Compliance

  • Ensure service activities comply with company safety standards.

  • Verify required permits, site inductions, and compliance documentation are completed.

  • Escalate safety concerns and operational risks.

Required Skills & Experience

Essential

  • Experience in service coordination, scheduling, operations, or administration.

  • Strong planning and organizational skills.

  • Excellent customer service and communication skills.

  • Experience using ERP, CRM, or service management systems.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Strong attention to detail.

Preferred

  • Experience within marine, fire safety, industrial, technical service, or engineering environments.

  • Understanding of field service operations.

  • Knowledge of service contracts and maintenance planning.

Authority

The Service Coordinator is authorized to:

  • Schedule and reschedule service resources.

  • Prioritize work based on customer commitments and operational requirements.

  • Escalate resource constraints and service delivery risks.

  • Coordinate with internal departments to support service delivery.
