We are looking for a highly organized and detail-oriented Service Coordinator to join our Edmonton team. This is an excellent opportunity for someone who enjoys working with systems, documentation, and internal coordination in a fast-paced environment.

In this role, you will support the administrative lifecycle of service and maintenance work, ensuring work orders are accurately set up, tracked, completed, and prepared for invoicing. You will work closely with planners, supervisors, and operations teams behind the scenes to help keep service projects moving efficiently and on schedule.

What You'll Do

Service Planning & Coordination

  • Review and validate information required to create service work orders
  • Set up and structure work orders according to project scope, budgets, and timelines
  • Review service history and identify potential risks or concerns
  • Ensure all required documentation, approvals, and supporting information are complete
  • Coordinate transportation, site access, and third-party vendor requirements
  • Schedule planning meetings and track action items and follow-up activities

Administration & Process Management

  • Maintain accurate and up-to-date information across multiple systems
  • Process administrative requests and required documentation
  • Update work orders, including labour, parts, and billing adjustments
  • Monitor project progress and communicate risks, delays, and changes to internal stakeholders
  • Support process compliance and documentation quality standards

Work Order Closure & Invoicing

  • Verify work orders are complete and ready for final review
  • Follow up on outstanding documentation, labour entries, parts returns, and billing requirements
  • Prepare completed work orders for invoicing
  • Track and escalate delays to help ensure timely billing and job completion

Team Support

  • Provide updates on work order status and progress to internal teams
  • Assist planners, supervisors, and operations personnel with administrative support
  • Participate in team meetings and contribute to workflow coordination and continuous improvement

Experience

  • Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset
  • 2-4 years of experience in an administrative, coordinator, or support role
  • Experience in service, construction, oil & gas, industrial, manufacturing, dealership, or related environments is an asset
  • Experience with Salesforce or similar CRM systems is an asset
