The Service Coordinator is crucial in providing comprehensive support to the Service Department and delivering exceptional customer service to external and internal clients. As the primary communication link between customers, on-site technicians, and the broader service team, the Service Coordinator ensures efficient coordination, advanced scheduling, and smooth service operations administration. The role involves data entry, job management, resource planning, and customer relationship management

Key Responsibilities Key Responsibilities

  • Coordinate the daily scheduling and dispatch of Service Technicians to ensure efficient service delivery and achievement of customer commitments.

  • Manage service work orders from creation through to completion, including breakdowns, preventative maintenance, quoted works, and project activities.

  • Provide day-to-day operational support to Service Technicians, ensuring they have the tools, equipment, parts, and information required to perform their work effectively.

  • Deliver exceptional customer service by responding to enquiries, coordinating service requests, and assisting with the resolution of customer issues.

  • Monitor technician utilisation, productivity, and job progress, identifying and escalating any scheduling or operational issues as required.

  • Maintain accurate service records, generate operational reports, and support performance tracking through the Service Management and ERP systems.

  • Work closely with Service Managers to optimise resource allocation, improve operational efficiency, and ensure compliance with customer contracts and service standards.

  • Contribute to the ongoing success of the Service team by supporting continuous improvement initiatives, maintaining strong stakeholder relationships, and assisting with additional operational and administrative responsibilities as required.

Required Competencies & Qualifications

  • High school diploma or equivalent; additional relevant qualifications preferred.

  • Previous experience in service administration or coordination, preferably in a similar industry.

  • Proficient in using Service ERP systems and other relevant software applications.

  • Excellent communication and interpersonal skills to interact effectively with customers, technicians,

  • and internal teams.

  • Strong organisational and multitasking abilities to manage various tasks concurrently.

  • Attention to detail and accuracy in data entry and reporting.

  • Ability to work under pressure and meet deadlines.

  • Understanding of safety regulations and environmental health practices.

  • Customer-focused mindset with a commitment to delivering high-quality service.
