We’re currently seeking a motivated and detail-driven Service Coordinator to join our Field Service team in Mackay QLD As a Service Coordinator, you’ll be responsible for coordinating the day-to-day activities of our Field Service technicians, ensuring work is scheduled effectively while delivering an exceptional customer experience. This is a permanent, Monday to Friday role.

What you’ll be doing:
As a Service Coordinator at Hastings Deering, you will:
- Manage work in progress and forecasting – effectively maintain WIP records and accurately forecast invoicing requirements and customer billing expectations.
- Support repair estimate preparation – assist in developing accurate repair estimates and ensure they are delivered to customers in a timely manner.
- Coordinate job segment completion – prepare and close job segments upon completion of work, ensuring all required processes are finalised.
- Process external procurement activities – action and manage tasks relating to outside purchase orders to support timely job execution.
- Ensure accurate job costing and invoicing – verify that all parts, labour, and miscellaneous charges are correctly allocated to job segments to enable accurate customer invoicing.
- Monitor labour allocation and time coding – ensure labour hours are correctly recorded and investigate any missing or incorrectly coded time entries.
- Manage rework and goodwill requests – follow up and coordinate the resolution of rework, write-off, and goodwill requests in accordance with business requirements.
- Oversee job quality and efficiency – monitor all jobs throughout the workflow to ensure quality standards are met and work is completed efficiently.
What you’ll need:
A successful teammate will have experience in:
- Bring relevant service coordination experience – demonstrate previous experience in service coordination, scheduling, administration, or customer service roles within a dynamic operational environment.
- Manage competing priorities effectively – apply strong organisational and time management skills to coordinate multiple tasks and meet deadlines.
- Communicate with confidence – build positive relationships through effective communication and stakeholder engagement across all levels of the business.
- Apply attention to detail – utilise strong problem-solving skills and a high level of accuracy when managing administrative and operational processes.
- Thrive in a fast-paced environment – adapt to changing priorities and maintain performance in a busy and demanding workplace.
- Leverage technology and systems – demonstrate proficiency in Microsoft Office and experience using ERP or Service Management Systems, with exposure to Caterpillar or mining industry systems considered advantageous.
