About the Role

We are looking for a highly organized and detail-oriented Service Coordinator to support our service operations team in Edmonton.

In this role, you will help coordinate equipment repair and maintenance jobs from start to finish by managing documentation, scheduling activities, communicating with customers and internal teams, and ensuring work orders are accurately processed and invoiced.

This is an excellent opportunity for someone looking to build a career in operations, project coordination, customer service, or the heavy equipment industry. We provide training on our systems, processes, and products, so industry experience is not required.

What You'll Do

Coordinate Service Jobs

  • Set up and maintain repair and maintenance work orders in company systems.
  • Ensure information is complete and accurate before work begins.
  • Track the progress of jobs and update records throughout the repair process.
  • Monitor timelines and escalate potential delays or issues to the appropriate team members.
  • Support the planning and scheduling of repair activities.

Support Documentation and Processes

  • Maintain accurate documentation and digital records throughout the life of a repair job.
  • Process updates to labour, parts, and billing information as work progresses.
  • Assist with warranty, invoicing, and customer documentation requirements.
  • Ensure work orders are complete before final billing and closure.
  • Follow established processes and quality standards.

Communicate with Customers and Stakeholders

  • Provide timely updates to customers and internal teams regarding job status.
  • Respond to inquiries related to service, repairs, schedules, and documentation.
  • Coordinate with technicians, supervisors, planners, vendors, and other stakeholders.
  • Schedule meetings and track action items to support successful job execution.

Support Operational Activities

  • Assist in coordinating transportation and logistics requirements.
  • Help arrange third-party services when required.
  • Support site access and training coordination for technicians.
  • Participate in team meetings and contribute to continuous process improvement.

  • 2-4 years of experience in an administrative, coordination, customer service, or operations support role.
  • Equivalent combinations of education and experience will be considered.
