Job Description

This position will ensure customer expectations and commitments are met through effective communication with our customers, providing support and information, prioritizing service calls and direct coordination with field employees.

Responsibilities include:

  • Assist with calls with service customers to ensure customer expectations are met, while helping to transfer information to new field service tools.
  • Create new service jobs in operating system and assist with closing out work tickets, reviewing work tickets for accuracy, and invoicing customers for service performed.
  • Assist with the scheduling and dispatching of field labor force to meet customer needs and expectations based on the nature of the call (Emergency, Preventive Maintenance, available resources and customer needs). Ensure information is accurately entered in operating system.
  • Effectively utilize service software in the delivery and management of service activities: opening service calls, supporting and scheduling planned preventive maintenance visits, updating customer information, creating purchase orders.
  • Support Project Managers and Service Manager with manpower planning and scheduling by establishing a work plan, preventative maintenance schedule, and/or project management tasking using Microsoft planning software to fulfill assigned account commitments.
  • Ensures project/contract profitability through achieving plan gross margin levels, billing and collections, and effective cost containment procedures.
  • Provide administrative support by assisting Service Programmers and Project Managers with documentation to close work tickets and/or service projects.
  • Deliver outstanding customer service as well as measure and maintain a quality delivery process for continuous improvement.
  • Perform other duties as assigned, including learning all functions of new operating system (via in online, in person, and on the job training).

Requirements

  • Bachelor’s or associate degree, or 5 years plus other formal education/training.
  • Experience in using established ERP systems in a service environment.
  • Microsoft AX is ideal, but others (i.e. Siebel) are acceptable.
  • Very comfortable with computer applications and ability to perform wide range of tasks in Microsoft Excel.
  • Experience in a service environment, where technicians are dispatched from a central hub.
  • Effective interpersonal skills to represent the company to customers and other outside contacts in an ethical and professional manner.
  • Possess the ability to explain technical information to relevant parties.
  • Must have experience in writing as well as demonstrated understanding of computer programs.
  • Basic Lean/Six Sigma fundamentals training to streamline processes.
  • Have a positive attitude and a sense of humor.
  • Ability to work in a team with varied personalities, yet be self-driven to meet tasks and deadlines.

Salary Range: $65k-$80k DOE.

Physical Activities: While performing the duties of this job, the employee is regularly required to sit, stand, talk and hear. The employee frequently is required to walk, move up and down stairs, use hands and arms to handle, feel and reach, push, pull bend and twist. Read information, often in small print. Enter and locate information on a computer system or communication device. Write documents, reports etc. using a writing instrument (e.g., pencil, pen) or computer. Operate a variety of automated office machines including calculator, copier, computer, telephone, fax machine etc.

Working Conditions: This position is in an office environment with moderate to low noise levels and is typically sedentary. While performing the duties of this job, the employee is occasionally exposed to varying temperatures, work areas that may be slippery and or wet, near equipment and mechanical moving parts. Work indoors for extended periods of time. This position does not offer remote work.
