Be the Heart of our Service Team.
Do you thrive in a fast paced environment where no two days are the same? Are you someone who loves solving problems, juggling priorities, and ensuring customers receive an outstanding experience?
We are looking for an organised, proactive, and customer focused Service Administrator to join our Service team. In this pivotal role, you'll be the central link between our customers, Service Technicians, Sales teams, and internal stakeholders, ensuring service requests are managed efficiently and customers remain informed every step of the way.
This is far more than an administrative position. You'll play a critical role in delivering exceptional customer experiences, coordinating field service activities, resolving challenges, and helping keep our service operations running smoothly.
What you will be doing:

Your responsibilities will include:
Building strong relationships with customers and internal stakeholders through exceptional service and communication
Coordinating and scheduling service appointments for our field technicians
Managing customer enquiries and service requests from initial contact through to resolution
Monitoring service jobs to ensure customers receive timely updates and support
Processing orders, quotations, returns, and service-related documentation accurately and efficiently
Managing parts availability, stock allocation, and repair exchanges to support service delivery
Collaborating closely with Service, Sales, Logistics, and Technical teams to achieve the best customer outcomes
Proactively identifying issues, managing expectations, and finding solutions before problems escalate
Maintaining accurate information across multiple systems while ensuring attention to detail at all times
You will thrive in this role if you are:
A natural problem solver who enjoys finding solutions rather than simply processing tasks
Highly organised with exceptional attention to detail
Resilient and able to remain calm and professional when priorities shift or challenges arise
Confident managing multiple competing priorities simultaneously
An excellent communicator who can build rapport with a wide range of stakeholders
Proactive and accountable, taking ownership from start to finish
Adaptable and comfortable navigating change and ambiguity
Customer-focused, with a genuine commitment to service excellence
Skills & Experience
We are interested in your capability and mindset more than your industry experience.
You will ideally have experience in: Customer service, service coordination, scheduling, administration, or customer support roles
Managing multiple priorities within a fast paced environment
Working with customers and stakeholders to resolve issues and achieve positive outcomes
CRM, ERP, or Service Management systems experience
Microsoft Office applications including Outlook, Word, and Excel
Experience within the dental or healthcare industry is highly regarded, but not essential. We provide comprehensive onboarding and training to help you build your industry knowledge and succeed in the role.
Why Join Us?
Join a market leading organisation with a strong reputation and values driven culture
Be part of a collaborative and supportive team that genuinely values customer service excellence
Enjoy a varied role where you will make a meaningful impact every day
Receive ongoing training, development, and career growth opportunities
