Job Description

We have an opportunity for a Part-time Service Administrator to join our team at Volvo Cars Poole.

As a Service Administrator, you will play a key role in supporting our busy Aftersales department. You will be responsible for customer retention activities, supporting the Service Advisors with customer communications, managing service enquiries, and helping to maximise workshop utilisation. Working closely with the Service Manager and wider dealership teams, you will ensure customers receive an exceptional customer experience while contributing to the overall success of the department.

Your responsibilities will include:

  • Generating leads and supporting customer retention initiatives for Volvo Cars Poole.
  • Handling inbound service calls and assisting customers with service-related enquiries.
  • Making outbound calls to customers in support of the Service Advisors and Aftersales team.
  • Managing customer enquiries and liaising with relevant departments to ensure timely resolutions.
  • Supporting sales, prospecting and customer engagement activities where required.
  • Assisting with workshop loading and helping to maximise available workshop hours.
  • Maintaining accurate customer records and ensuring all data is entered correctly across business system.
  • Working closely with the Service Manager and Service Advisors to support daily operations.
  • Contacting lapsed customers and identifying opportunities to win back lost service business.
  • Delivering exceptional customer service and exceeding customer expectations at every opportunity.

What you will need to be a Service Administrator at Volvo Cars Poole:

  • Previous experience in an administration, customer service or contact centre role.
  • Excellent communication skills with a professional and confident telephone manner.
  • Strong organisational skills and excellent attention to detail.
  • The ability to prioritise workload and manage multiple tasks in a fast-paced environment.
  • Good IT skills and confidence using customer databases and office systems.
  • A positive, proactive and customer-focused approach with a passion for delivering outstanding service.

Automotive experience isn't essential. We're looking for someone who enjoys helping customers, has great communication skills, and thrives in a busy team environment. Full training will be provided.

This is a part-time role working 25 hours per week, Monday to Friday. We can be flexible on the working hours, making it a great option if you need to fit work around other commitments.
