About the Role:

We currently have an excellent opportunity for a Service Administrator to join our Service team based in Lae. This role primarily exists to provide administrative support to the Service Department to ensure that our customers receive the best quality product and service.

The successful candidate will be reported to the Service Manager, and your competence and experience will include:

Service Coordination & Administration

• Proven experience supporting service administration functions, including job setup, WIP management, and system maintenance.
• Ability to manage multiple priorities while meeting service targets, turnaround times, and quality standards.

​ Scheduling & Support

• Capability to support cost control initiatives and resolve vendor or invoice discrepancies.
• Coordinate and maintain technician schedules in collaboration with the Service Supervisor/Manager.

Customer Service & Communication

• Customer focused mindset, delivering a high-quality, cost-effective service and supporting minimal customer complaints.
• Strong communication and stakeholder engagement skills, working effectively with managers, supervisors, technicians, and vendors.

Reporting & Data Management

• Maintain accurate data entry in service systems and ensure data integrity.
• Support the Service Manager with performance tracking and reporting.​

Compliance & Process Improvement

• Experience ensuring accuracy of service documentation, labor hours, job costing, and purchase orders.
• Competence in supporting KPIs, CPS metrics, reporting, audits, and continuous improvement initiatives.

Safety

• Ensure safety goals are achieved through personal commitment, no harm to self or others and participation in safety initiatives.
• Ensure safety procedures and practices are implemented and applied.

​ About You:

You will bring the following skills and experience to the role:

• Year 12 Certificate is desirable
• Tertiary Qualifications – Office Management/Business Administration
• Minimum two years in a similar administration or workshop administrator role.
• Knowledge of Caterpillar products, parts and services.
• Strong customer focus, good communication, negotiating, planning and organization skills
• Excellent computer skills and knowledge working with Microsoft Applications (Project, Word, Excel, PowerPoint and Microsoft Dynamics AX).
