What You’ll Be Doing

As a Service Admin Assistant, you’ll be responsible for managing service orders, invoicing and reports, supporting customer service operations, and ensuring accurate documentation and smooth backend processes.

  • Track ongoing jobs and ensure service orders are closed once work is completed
  • Issue invoices accurately using the correct job type (customer or internal)
  • Check that purchase order amounts match the final invoice
  • File completed service records and invoices properly for easy reference
  • Prepare regular weekly and monthly reports on ongoing jobs and outstanding payments
  • Update outsourced service pricing and job codes to support automatic purchase order creation
  • Provide administrative and backend support to the service management team, including customer feedback and system updates
  • Support Customer Service Advisors and reception with daily operations
  • Check customer identity and confirm signatures before handing over vehicle keys
  • Collect customer signatures for towed‑in vehicle job records
  • Handle incoming calls politely and professionally, transfer calls when needed, and record messages accurately

Who We’re Looking For

  • Minimum GCE ‘O’ Level or equivalent
  • At least 2 years of customer service and/or administrative experience
  • Proficient in Microsoft Office
  • Strong interpersonal and communication skills
  • Proactive and independent with positive attitude
