
Under general supervision, schedules surgical procedures and appointments, registers patients and ensures a high level of accuracy with all tasks.
Education
High School diploma or equivalent required. Bachelor’s degree preferred.
Experience
2 years medical experience required. Surgical posting experience preferred.
Skills
Knowledge of all HMOs, PPOs, Medicare, BC/BS and commercial restrictions in addition to department carve outs
Knowledge of CPT & ICD-10 codes and medical terminology
Skill in using computerized medical record system (scheduling, registration, billing) and personal productivity applications
Skill in written and oral communication
Skill in performing non-complex arithmetic calculations
Ability to manage multiple tasks and deadlines
Excellent customer service skills
Principal Duties and Responsibilities
Reserves all operating rooms; schedules related equipment and posts patients for all operative procedures, inpatient and outpatient
Cancels scheduled cases in a timely manner
Notifies affected individuals of all changes in surgery such as date, time or cancellations
Prepares and assures the reproduction of master operating room. Collates OR schedules and delivers copies to designated hospital areas
Maintains files of necessary records, such as requests pertaining to admission and/or surgery. Maintains filing system on each patient posted for admission or surgery
Informs physicians' representatives and secretaries of allied hospital services and pertinent related information; i.e., compliance and insurance requirements. Informs secretaries of prerequisites needed to ensure smooth flow of admission of patient
Seeks assistance from managers when unable to accommodate requests from physician offices and/or operating room Charge Nurse/Managers
Works closely with surgeon to schedule surgical procedures, diagnostic tests and therapeutic procedures according to restrictions of HMOs, PPOs, etc. and working in cooperation with patients and other hospital departments.
Types letters, reports, forms, correspondence, diagnostic test results, patient histories and notes from machine dictation or rough draft where appropriate. Assembles and maintains files for all patients according to procedure and updates records and files for current patients.
Schedules, confirms, and coordinates patient appointments. Prepares and prints daily patient schedule and distributes to appropriate personnel. Mails patient appointment reminders and calls patient prior to appointment to confirm. Pre-registers all patients and verifies authorization of patient testing orders and insurance coverage. Checks in patients upon arrival.
Completes patient appointment verification calls, including patient travel screen questionnaire and creates patient file. Orders office supplies.
Pre-registration of patients and confirm patients.
Participates in staff orientation, education, and in office onboarding and training.
Checks for patient referral if required by insurance and follow proper protocol for entering and attaching the referral.
Collect pays and any outstanding balances
Obtain prior authorization/referrals if required for visit or in office testing and/or surgical procedures.
Maintains multifaceted computerized scheduling and billing system. Schedules patient appointments and performs (pre) registration duties.
Receives and screens telephone calls as well as scheduling peer-to-peer conference calls. Responds to general inquiries by relating or referring to established policies and procedures.
Identifies opportunities for more efficient operation of Surgical Posting. Open to feedback about Surgical Posting errors/mis-posts. Escalates relevant Surgical Posting concerns to Practice Manager and communicates Surgical Posting updates at daily huddle.
Physical Requirements
Ability to sit, stand and pay close attention to detail.
Ability to concentrate and pay close attention to detail and achieve a high level of efficiency with minimum errors, ability to prioritize work.
Frequent standing, walking, and lifting (up to 20 pounds).
Working Conditions
Normal office environment with little exposure to dust, temperature or hazardous materials.
Pay Range
$19.92 - $29.87
Final salary offer will be based on the candidate's qualifications, education, experience and alignment with our organizational needs.
